The Front Desk Receptionist at Zen ReGen plays a vital role in creating an exceptional patient experience. This position serves as the first point of contact for patients and is responsible for ensuring smooth daily front desk operations in a fast-paced, wellness and aesthetics-focused practice.

Duties
- Greet and check in patients in a warm, professional manner, ensuring a positive first impression
- Manage appointment scheduling, confirmations, reschedules, and cancellations
- Answer incoming phone calls, emails, and messages promptly and professionally
- Collect patient information, verify forms, and ensure accurate documentation in the EMR system
- Process payments, handle POS transactions, and explain pricing, packages, and memberships as needed
- Coordinate patient flow between providers and clinical staff to support efficient clinic operations
- Maintain a clean, organized, and welcoming front desk and lobby environment
- Assist with patient inquiries regarding services, products, and general clinic information
- Support daily opening and closing procedures for the front desk
- Communicate effectively with clinical staff and leadership to ensure seamless care coordination
- Uphold HIPAA compliance and patient confidentiality at all times
- Assist with administrative tasks such as filing, scanning, and data entry as needed
Requirements
- High school diploma or equivalent required
- Previous experience in a front desk, customer service, or administrative role preferred
- Experience in a medical, wellness, or aesthetics setting is a plus but not required
- Strong interpersonal and communication skills with a patient-first mindset
- Ability to multitask and stay organized in a fast-paced environment
- Comfortable using computers, scheduling systems, and electronic medical records (EMR)
- Professional appearance and demeanor aligned with a medical aesthetics environment
- Reliability, punctuality, and strong attention to detail
- Ability to maintain patient confidentiality and comply with HIPAA standards
- Team-oriented attitude with a willingness to learn and adapt
