Location: Wilmington, NC
Schedule: Full-time (Mon–Fri) or Part-time (Wed–Fri)
Compensation: $17.00–$20.00 per hour (based on experience) + $500 sign-on bonus after 120 days of employment

Job Summary

We are seeking a highly organized and patient-focused Medical Receptionist/Administrative Assistant to join our allergy and ENT clinic. The ideal candidate will manage front and back-desk operations, welcome patients, and support clinical and administrative functions that keep the office running smoothly. This position requires professionalism, accuracy, and excellent communication skills in a fast-paced healthcare setting.

Responsibilities

  • Greet and check in patients in a professional, compassionate manner; verify and update demographics, insurance, and consent forms
  • Schedule, confirm, and manage patient appointments while maintaining provider calendars
  • Answer and route phone calls using a multi-line system; relay messages accurately to clinical staff
  • Collect co-pays and outstanding balances; process payments and reconcile daily receipts
  • Prepare and maintain patient charts; scan, file, and upload medical documents into the EMR system
  • Coordinate referrals, prior authorizations, and prescription refill requests as directed by the provider
  • Assist with patient flow between front office and clinical areas to ensure efficient operations
  • Communicate clearly with patients regarding visit expectations, follow-ups, and billing questions
  • Support administrative tasks including correspondence, data entry, supply management, and insurance verification
  • Collaborate with the clinical and administrative team to enhance patient experience and workflow efficiency
  • The Administrative Assistant will be responsible for reviewing, processing, and reconciling insurance billing and Explanation of Benefits (EOBs), identifying discrepancies or denials, and coordinating with payers and internal staff to ensure accurate and timely reimbursement.
  • Candidates with a financial or accounting background will be strongly considered.

Qualifications

  • Two years previous experience as a medical receptionist or front-desk coordinator required (ENT, allergy, or primary-care experience preferred)
  • Familiarity with EMR/EHR systems and HIPAA compliance standards
  • Proficiency in Microsoft Office and Google Workspace
  • QuickBooks experience a plus
  • Excellent organizational and multitasking skills with attention to detail
  • Friendly, professional demeanor and strong commitment to patient service
