Overview
We are seeking a highly organized and proactive Office Administrator to oversee daily operations and ensure the smooth functioning of our office environment. The ideal candidate will possess strong administrative, communication, and management skills, with experience in office management, bookkeeping, and human resources. This role offers an opportunity to contribute to a dynamic team, manage multiple responsibilities, and support organizational growth through effective office oversight.
Responsibilities
- Manage day-to-day office operations, including front desk duties and multi-line phone systems
- Coordinate calendar management and schedule appointments for staff and executives
- Oversee vendor management, including negotiations and maintaining professional relationships
- Handle bookkeeping tasks such as invoicing, expense tracking, and basic accounting using QuickBooks
- Assist with payroll processing and human resources functions including onboarding and employee records management
- Support event planning and coordinate logistics for meetings, training sessions, and company events
- Supervise administrative staff and coordinate training & development initiatives
- Maintain filing systems, manage document organization, and ensure data accuracy
- Ensure effective communication within the team through phone etiquette and clear correspondence
- Manage office supplies inventory and oversee budget adherence for office expenses
- Support medical office management tasks if applicable
Skills
- Proven experience in office administration or office management roles with strong clerical background
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Strong communication skills, both verbal and written, with professional phone etiquette
- Proficiency in QuickBooks, calendar management tools, and multi-line phone systems
- Experience in event planning, vendor management, and supervising team members
- Knowledge of human resources processes including payroll, onboarding, and employee recordkeeping
- Ability to handle budgeting responsibilities effectively
- Demonstrated ability to manage filing systems and perform bookkeeping tasks accurately
- Experience working in medical office management or similar environments is a plus

Pay: $ $30.00 per hour
