Position Summary:
The Executive Assistant provides high-level administrative support to the CEO. Serves as a liaison and the primary point of contact for internal and external stakeholders on various projects and tasks. Also, the Executive Assistant is responsible for serving as the office manager for the corporate headquarters.
Essential Functions and Job Responsibilities:
- Manages sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the overall operations of the company.
- Maintains a daily calendar of meetings and events, including organizing complex calendars and schedules, and resolving any scheduling issues.
- Prepares MS Word, Excel, or PowerPoint presentations, agendas, reports, special projects, and other documents in support of company objectives.
- Arranges travel and accommodations for CEO, as well as completing expense reports.
- Screens incoming telephone calls; takes and delivers accurate messages; responds to requests by gathering and providing information and uses a high-level of discretion when referring calls to the appropriate staff, including the CEO.
- Drafts, prepares, and executes correspondence for internal or external announcements.
- Provides a bridge for smooth communication between the CEO and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior employees. Often communicates directly, and on behalf, of the CEO.
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature, and determines appropriate course of action, referral, or response.
- Completes administrative and leadership tasks that facilitate the CEO's ability to effectively lead the company.
- Serves as the corporate office manager, overseeing and supporting all administrative duties in the office and ensures that the office is operating smoothly.
- Evaluates and assists in developing office policies and procedures for improved workflow and anticipates future needs as the organization grows. May assist in the select of vendors and purchase equipment, services, and supplies necessary for operation of the organization.
- Reviews lease agreements, contracts, and service agreements for accuracy and compliance.
- Prepares and submits requested reports.
- Performs other related duties as assigned.
