Job Summary:

As an Executive Assistant, you will provide high-level administrative support to executives and senior management, enabling them to focus on strategic tasks and priorities. You will play a critical role in ensuring smooth operations, managing communications, and coordinating activities efficiently.

Essential Functions:

  • Screen and prioritize incoming calls as well as all correspondence, including mail and emails, handling them professionally and promptly.
  • Greet visitors and direct them to the appropriate person or department.
  • Maintain office supplies inventory and place orders when necessary.
  • Manage executives' calendars and coordinate appointments and meetings to ensure optimal use of executives' time.
  • Arrange travel accommodation and itineraries for staff.
  • Enter data into databases and maintain accurate records.
  • Prepare and modify documents including reports, drafts, memos, and emails.
  • Update and maintain organizational spreadsheets.
  • Assist in preparing presentations and materials for meetings.
  • Act as a liaison between executives and team members, ensuring open lines of communication.
  • Collaborate with other administrative staff to ensure seamless teamwork.
  • Provide administrative support to other Executive departments or teams as needed.
  • Assist in special projects and initiatives as assigned.
  • Responsible for distribution of corporate contracts from Executive Leadership.
  • Participates in Executive meetings and records minutes.

Additional Responsibilities:

  • Performs other duties as assigned or requested.
  • Conforms to all applicable Agency policies and procedures.
  • Participates actively in continuing education and in-services.
  • Maintains confidentiality and sensitive information of patient information and business trade practices with integrity and discretion.
  • Assumes accountability for reporting incidents and complaints according to Agency policy.

Knowledge / Skills / Abilities:

  • Excellent organizational and time management skills, with the ability to prioritize tasks and multitask effectively.
  • Proven experience as an executive assistant or similar role supporting senior management.
  • Proficient in MS Office (Word, Excel, Outlook, PowerPoint) and other office software.
  • Attention to detail and problem-solving skills.
  • Ability to respond to common inquiries or complaints, regulatory agencies, or members of the business

community.

Treats all information and data within the scope of the position with appropriate confidentiality and security.

  • Cooperates fully in all risk management activities and investigations.
  • Maintains Agency/program compliance with local, state, and federal laws as well as state accreditation standards.

Minimum Position Qualifications:

  • Education:

Associate or bachelor's degree preferred, previous experience will be considered in lieu of degree.

  • Experience:

3-5 years previous experience in executive support or administration, ideally in a corporate environment.

Environmental Conditions:

Typical office environment, flexible hours may be required based on the executive's schedule and business needs.

Physical Requirements: Sitting is required and the ability to work on a computer for long periods of time. Requires ability to always handle stressful situations in a calm and courteous manner. Requires working under some stressful conditions to meet deadlines and agency needs. Ability to travel.
