Job Purpose: To coordinate and manage landscape and irrigation installations from contract through completion by supporting the Field Operations Manager (FOM), serving as the primary client point of contact after project sale, and ensuring projects are organized, scheduled, supplied, and communicated effectively. This role is responsible for delivering a high-quality customer experience while supporting efficient field operations.

Commitment: Scheduled, 40+ hours per week, Monday-Friday, with additional hours as needed or requested.

Key Aspects of the Job

1.) Project ownership from start to finishThe Project Coordinator oversees projects once the quote has been signed, supporting the FOM throughout each phase of the project. This role ensures that projects move smoothly from sales handoff through construction and final walkthrough, with clear communication and follow-through at every stage.

2.) Client communication and experience focusedThe Project Coordinator is introduced to the client as the primary point of contact after the project sale. This introduction will take place either virtually or in person, depending on the project size. The Project Coordinator is responsible for keeping clients informed of scheduling, progress, and next steps, while providing consistent touchpoints and an excellent customer experience.

3.) Scheduling, materials, and logistics coordinationThe Project Coordinator assists the FOM with project scheduling and is responsible for procuring, staging, and tracking all materials for sold projects. This includes working with Garden Center staff to ensure materials are properly tagged and moved into sold project areas.

4.) Communication and coordination with teamsThe Project Coordinator works closely with all internal teams to ensure everyone has the information and resources needed to execute projects successfully.

5.) Detail-oriented and problem-solving mindsetThe Project Coordinator must be able to read plans, understand landscape and hardscape construction details, identify potential issues early, and help resolve problems before they impact project timelines or customer satisfaction.

Success Factors / Requirements

  • Strong understanding of landscape, hardscape, and irrigation construction
  • Ability to read plans and specifications with a high attention to detail
  • Strong problem-solving skills and the ability to think proactively
  • Excellent organizational skills and ability to manage multiple projects simultaneously
  • Strong written and verbal communication skills
  • Ability to coordinate effectively with clients and VOL staff
  • Ability to self-manage while maintaining regular communication with leadership
  • Commitment to providing an excellent customer experience

Education / Experience

  • High school diploma or equivalent required
  • An associate's or bachelor's degree in landscape management, construction management, horticulture, project management, or a related field is preferred
  • Minimum of 2–4 years of experience in landscape construction, irrigation, hardscape installation, or construction-related project coordination (or an equivalent combination of education and hands-on experience)
