We are seeking a friendly, organized, and dependable Front Desk Receptionist / Office Assistant to join our team at a fast-paced Assisted Living Facility for seniors. This role is the first point of contact for residents, families, visitors, and vendors, and plays a key role in supporting daily administrative and office operations.
The ideal candidate is professional, compassionate, detail-oriented, and able to multitask in a healthcare environment while providing excellent customer service.
Key Responsibilities
- Greet and assist residents, families, visitors, and vendors in a courteous and professional manner
- Answer and route incoming phone calls promptly and accurately
- Maintain sign-in/sign-out logs and follow facility security procedures
- Assist with administrative tasks such as filing, copying, scanning, and data entry
- Support management with basic office duties and special projects as needed
- Receive and distribute mail, packages, and deliveries
- Maintain a clean, organized, and welcoming front desk and lobby area
- Communicate effectively with nursing, caregiving, and administrative staff
- Handle sensitive information with confidentiality and discretion
- Assist with scheduling, record requests, or resident-related documentation as assigned
Qualifications
- High school diploma or equivalent required
- Previous experience as a receptionist, front desk associate, or office assistant preferred
- Experience in healthcare, senior living, or customer service strongly preferred
- Strong communication and interpersonal skills
- Professional appearance and demeanor
- Ability to multitask and remain calm in a fast-paced environment
- Proficiency with basic office equipment and computer systems (email, Microsoft Office, etc.)

Responsibilities
- Greet visitors and clients promptly and professionally, creating a welcoming environment
- Manage multi-line phone systems, directing calls efficiently and courteously
- Handle appointment scheduling, calendar management, and coordinate meetings using Microsoft Office and Google Workspace tools
- Perform data entry, filing, and maintain accurate records using QuickBooks and other office management software
- Assist with bookkeeping tasks, including basic invoicing and expense tracking
- Support administrative tasks such as proofreading documents, managing correspondence, and maintaining office supplies
- Provide exceptional customer service by addressing inquiries via phone, email, or in person
- Support medical or dental reception duties as needed, including patient check-in and appointment confirmation
- Maintain organization of files, documents, and office equipment to ensure operational efficiency
- Support personal assistant duties such as calendar management and travel arrangements when required
Requirements
- Proven experience in office management, clerical work, or administrative support
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
- Excellent phone etiquette with experience managing multi-line phone systems
- Exceptional organizational skills with the ability to multitask efficiently in a fast-paced environment
- Attention to detail for proofreading documents and managing schedules accurately
- Previous experience as a receptionist or in customer support roles such as medical or dental receptionist is advantageous
- Ability to prioritize tasks effectively
- Ability to handle confidential information discreetly and professionally
