About the Role

We are seeking a highly organized, detail-oriented Paralegal / Case Manager to support a fast-paced first-party property insurance law practice. This role is critical to the lifecycle of a case—from intake through resolution—and requires someone who understands insurance claims, litigation workflows, deadlines, and client communication at a professional level.

This position is ideal for someone who thrives in structured environments, takes ownership of their caseload, and understands the urgency and accountability required in insurance litigation.

Key Responsibilities Case Management & Workflow

  • Manage an assigned caseload of first-party property insurance matters (pre-litigation and litigation)
  • Maintain accurate and up-to-date case files within the firm's case management/CRM system
  • Track all deadlines, statutory notice requirements, discovery timelines, and court dates
  • Coordinate case progression to ensure matters move efficiently and without delay

Claims & Litigation Support

  • Assist with claim setup, proof of loss submissions, demand packages, and insurer correspondence
  • Draft and organize pleadings, discovery responses, disclosures, and supporting exhibits
  • Coordinate expert inspections, reports, depositions, mediations, and hearings
  • Communicate with opposing counsel, adjusters, public adjusters, experts, and vendors

Client Communication

  • Serve as a primary point of contact for clients regarding case status and procedural questions
  • Ensure clients are informed, prepared, and responsive throughout the claims or litigation process
  • Collect and organize client documentation, photographs, estimates, and other evidence

Document & File Management

  • Review, organize, and summarize insurance policies, claim files, estimates, and correspondence
  • Prepare case summaries and timelines for attorney review
  • Maintain document version control and ensure compliance with firm protocols

Internal Coordination

  • Work closely with attorneys, intake staff, and operations teams to ensure seamless handoffs
  • Flag issues requiring attorney attention and proactively identify bottlenecks
  • Assist with settlement processing, closing files, and post-resolution documentation

Required Qualifications

  • 2+ years of experience as a paralegal, case manager, or legal assistant
  • Experience in first-party property insurance, insurance defense, or civil litigation strongly preferred
  • Strong understanding of litigation timelines, pleadings, and discovery processes
  • Exceptional organizational and time-management skills
  • Professional written and verbal communication skills
  • High attention to detail and ability to manage multiple cases simultaneously
  • Comfortable working in a deadline-driven environment

Preferred Experience

  • First-party property claims (hail, hurricane, wind, fire, water, or storm losses)
  • Experience with policy review, coverage issues, and insurer correspondence
  • Familiarity with case management software (e.g., Clio, Filevine, Litify, SmartAdvocate, Zoho, etc.)
  • Experience coordinating experts, inspections, or large claim files
  • Knowledge of state-specific insurance codes or civil procedure rules (preferred but not required)

Job Types: Full-time, Part-time, Contract

Pay: $65, $90,000.00 per year
