About The Role
We are seeking a highly motivated and detail-oriented Executive Administrative Assistant to join our RTX Enterprise Services team. This role is essential in supporting multiple facets of daily business operations for senior executives. The successful candidate will be responsible for managing complex calendars, coordinating travel arrangements, preparing meetings, and handling correspondence with professionalism and confidentiality. Operating in a dynamic, technology-rich environment, the Executive Administrative Assistant must demonstrate exceptional organizational skills, time management, and the ability to adapt to changing priorities across multiple time zones. This position offers a hybrid work model, combining remote work with potential on-site engagements, and provides an excellent opportunity to be part of a forward-thinking organization dedicated to innovation and operational excellence.
Qualifications
- High School Diploma with at least 8 years of relevant work experience
- Adept in Microsoft Office Suite, including M365, Outlook, Word, PowerPoint, and Excel
- Experience supporting and communicating with executive leadership
- Proven ability to handle a variety of duties and responsibilities in a versatile environment
- Strong interpersonal and communication skills, both verbal and written
- Excellent organizational and prioritization skills
- Ability to maintain confidentiality and exercise sound judgment
- Experience managing complex calendars and coordinating travel logistics
- Proficiency in preparing and processing expense and mileage reports
- Ability to work effectively across different teams and organizational levels
Preferred qualifications include an AA/AS degree and a minimum of 6 years of relevant experience.
Responsibilities
- Manage and maintain executives' calendars, scheduling all internal and external meetings efficiently and resolving conflicts proactively
- Coordinate and arrange domestic and international travel logistics, including flights, accommodations, and transportation
- Prepare meeting agendas, book conference rooms, and coordinate catering and technical requirements
- Anticipate the needs of executives and meeting participants to ensure seamless event execution
- Represent executives professionally to internal teams and external stakeholders, fostering positive relationships
- Handle correspondence, follow-up communications, and drive team discussions to ensure timely follow-through
- Maintain and update organizational charts and other administrative records accurately
- Process expense reports, mileage claims, and ensure timely submission in accordance with company policies
- Participate in special projects and undertake additional duties as assigned to support business objectives
- Demonstrate proactive problem-solving, attention to detail, and adaptability in a fast-paced environment
