Job Overview
We are seeking a highly organized and professional Executive Assistant to provide confidential, high level administrative support to the Executive Director. The ideal candidate will possess exceptional organizational skills, a keen eye for detail, and the ability to manage multiple priorities efficiently. This role offers an exciting opportunity to contribute to the smooth operation of our organization by coordinating schedules, managing correspondence, and supporting various projects with professionalism and discretion. This role supervises the desk clerks. The successful applicant will demonstrate excellent communication abilities, technical proficiency, and a commitment to delivering outstanding administrative support in a dynamic environment.

Duties

  • Manage complex calendars and schedule appointments using Microsoft Outlook Calendar to ensure optimal time management for the Executive Director.
  • Coordinate meetings, conferences, and events, including logistics planning, venue arrangements, and catering as needed.
  • Prepare and proofread correspondence, reports, and presentations with attention to accuracy and clarity.
  • Serve as a welcoming first point of contact for residents, visitors, and callers.
  • Maintain resident and administrative communications, directories, schedules and contact lists.
  • Perform office management duties such as ordering supplies, managing office equipment, and overseeing front desk operations.
  • Manage confidential information with discretion while maintaining a high level of professionalism at all times.
  • Track licenses, QA standards, and administrative records

Skills

  • Extensive experience in executive administrative support with a strong background in office management and clerical functions.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), OneNote, OneDrive
  • Demonstrated ability to coordinate projects efficiently while managing multiple priorities simultaneously.
  • Excellent organizational skills with meticulous attention to detail in proofreading and document preparation.
  • Strong typing skills with a speed of 60-70 wpm.
  • Exceptional customer service skills with professional phone etiquette across multi-line phone systems.
  • Ability to adapt quickly to changing priorities while maintaining a positive attitude in a fast-paced environment.
  • Associate degree or equivalent experience; 3+ years of related administrative experience preferred
