Job Summary
We are seeking a dynamic and client service-oriented Event Planning Coordinator to assist the Director of Marketing to manage and execute corporate events in our Lewes, DE office and community center space. This position requires a seasoned professional with significant experience in corporate event planning and community engagement to ensure all events align with company branding, stay within budget, and enhance relationships with clients and external stakeholders. Key responsibilities include end-to-end planning, logistics, vendor management, registration management, and on-site support for corporate, marketing, and client-facing events.
Responsibilities
- Event Logistics and Execution: Oversee all aspects of corporate events, including seminars, vendor fairs, community social events, workshops, panel discussions, client appreciation events, focus groups, and employee gatherings. This includes assisting the marketing department with conceptualizing the event, selecting venues (when necessary), and coordinating logistics for all company sponsored events from 10 to 100 guests.
- Registration and Data Management: Manage attendee registration, RSVP tracking, and post event reporting.
- Vendor Management: Assist the Marketing Department with vendor research (i.e. catering, audio visual, decorating, etc.) Exhibit strong negotiation skills to secure competitive rates.
- Budget and Financial Tracking: Develop, monitor and report on event budgets. Process invoices, manage vendor payments, and ensure compliance with financial controls.
- Coordination: Act as the primary point of contact and manage end-to-end logistics for all onsite/off site events, troubleshoot issues, and ensure a seamless experience for guests.
- Administrative Support: Provide daily administrative support to the marketing department, including scheduling meetings, handling correspondence, and managing calendars. Maintain membership and event databases, ensuring records are accurate and up to date. Assist in preparing reports, presentations, and meeting materials. Assist in event promotion and communications, working with marketing to update the website and drive event attendance.
Qualifications
- Experience: Minimum of 5 years in corporate event planning and logistics (virtual and in-person).
- Skills: Detail-oriented, analytical, with strong multitasking abilities; excellent problem-solving and negotiation skills. Proficiency in Microsoft Office Suite, database/CRM software (Redtail or similar is a plus), Proficiency with Webinar Platforms (Zoom). Strong written and verbal communication skills are important.
- Personal Attributes: Client-focused, and proactive in providing solutions.
- Education: H.S. Diploma/GED required; college degree preferred. Relevant work experience is necessary.
- Schedule: Full Time/ In Office (Monday to Friday ,Occasional weekday evening and weekends required)
