Job Overview
We are seeking a proactive and detail-oriented Assistant Property Manager to support our property management team. This role involves overseeing daily operations, ensuring compliance with relevant regulations, and providing exceptional customer service to residents. The ideal candidate will possess strong administrative skills, knowledge of property management systems, and experience with legal and regulatory frameworks such as LIHTC, Section 8, and Fair Housing regulations. This position offers an opportunity to work in a dynamic environment focused on maintaining high standards of property maintenance, leasing, and tenant relations.
Duties
- Assist in managing property leasing processes, including tenant screening, lease signing, and renewals using systems like Yardi and OneSite
- Support rent collection, data entry, filing, and maintaining accurate records of tenant information and contracts
- Coordinate property maintenance requests and facilities management activities to ensure properties are well-maintained
- Handle tenant inquiries via phone and in person with professional office etiquette and conflict management skills
- Ensure compliance with Fair Housing laws, landlord-tenant law, LIHTC regulations, and Section 8 program requirements
- Assist in marketing properties through upselling available units and fostering positive customer relationships
- Prepare legal documents, contracts, and notices related to property management activities
- Support the property management team with administrative tasks such as filing, data entry, CMMS updates, and reporting
- Participate in lease negotiations and conflict resolution to maintain high levels of tenant satisfaction
- Collaborate with maintenance teams to schedule inspections and oversee property upkeep
Requirements
- Proven experience in property management or real estate administrative roles; familiarity with LIHTC, Section 8, Landlord-Tenant Law, Fair Housing regulations preferred
- Proficiency in property management software such as Yardi, OneSite, or similar platforms
- Strong legal administrative experience including contracts and lease documentation
- Excellent customer service skills with professional phone etiquette and conflict management abilities
- Office experience with data entry, filing systems, CRM tools like Customer Relationship Management platforms
- Knowledge of facilities management (CMMS) or property maintenance procedures is a plus
- Ability to handle multiple tasks efficiently while maintaining attention to detail
- Strong negotiation skills for lease agreements and conflict resolution
- Administrative experience including document preparation, filing systems, and contract management
- Effective communication skills both written and verbal; ability to build positive relationships with tenants and vendors
