Responsibilities
- Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette.
- Operate multi-line phone systems efficiently, handling inquiries and routing calls promptly.
- Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office applications.
- Perform data entry tasks with accuracy, including invoicing, record keeping, and updating client information in QuickBooks.
- Support office management activities such as calendar management, appointment scheduling, and coordinating meetings.
- Assist with bookkeeping tasks, including basic bookkeeping and reconciling accounts as needed.
- Provide customer service support by addressing inquiries via phone or email and ensuring client satisfaction.
- Proofread documents for accuracy and clarity before distribution or submission.
- Handle clerical responsibilities such as photocopying, scanning, mailing, and maintaining office supplies inventory.
- Support personal assistant duties when required, including travel arrangements or special project coordination.
Skills
- Proven experience in office management or administrative roles with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools.
- Familiarity with QuickBooks for basic bookkeeping and financial recordkeeping.
- Excellent computer literacy with the ability to adapt to new software quickly.
- Strong typing skills with high accuracy; attention to detail is essential for proofreading and data entry tasks.
- Exceptional communication skills in both English and bilingual (specify language if applicable) to serve diverse clients effectively.
- Experience operating multi-line phone systems and managing front desk responsibilities confidently.
- Knowledge of office procedures such as filing systems, calendar management, and document organization.
- Ability to prioritize tasks efficiently using time management techniques in a fast-paced environment.
- Previous experience as a medical or dental receptionist is a plus but not required; customer service experience is highly valued.
