Faculty and staff members are expected to be physically present on campus as needed to support the in-person educational experience and on-campus vitality at the University of West Georgia. Depending upon teaching assignments and student demand, this could include the Carrollton or Newnan campuses.
Job SummaryThis position supports a department that consists of four undergraduate, two graduate programs and 30+ faculty. The primary duties include providing administrative support to the department chair and faculty and to execute all tasks associated with budget and records management. The position involves executing the day-to-day office operations, including, but not limited to, purchasing, course scheduling, event coordination, records management, personnel management, and supervision of student assistants. This position serves as a first point of contact in assisting students and visitors to the department.
This position has pCard responsibilities and therefore must successfully pass a credit check.

Responsibilities1 -
Budget & Purchasing duties: Budget: Compile, evaluate, monitor, consolidate, report, and coordinate complex budgets. Operating with significant latitude and within a general budgetary framework established by the Department Chair, coordinate and make autonomous decisions for purchasing and procurement; assist in the preparation and processing of travel authorizations and expense statements/reimbursements for department faculty, staff, and students; assist and advise the Department Chair in budget development & planning. Develop, maintain, and manage forms and elaborate spreadsheets related to these areas. The department's annual budget includes the following accounts: 10000, 10500, agency/foundation across multiple programs. The aforementioned budget and procurement activities routinely involve varied, complex, and unique situations (e.g., processing and resolving issues regarding procurement and travel arrangements, working with numerous contract and non-contract vendors to acquire quotes, etc.). Purchasing: Maintain supplies inventory for the department, including ordering supplies and equipment, monitoring purchase amounts, and processing payments in a timely manner, keeping within budgetary limitations and prioritizing purchases: ordering, receiving, dispersing of items.

Graduate Studies: Each semester review and edit theses for the Criminology program using ProQuest. Work with students until everything is correct using established guidelines. This is a vital checkpoint in a students progression to graduation.

Administrative support duties: Serves as the first point of contact for the department and program for many academic student issues; answering questions via phone or email; direct students to appropriate office or individual, Coordinate and/or assist with various miscellaneous department and program activities, class offerings, and office processes across multiple programs and faculty. This includes monitoring supplies, scheduling and organizing meetings and events; arranging department travel, reserving necessary transportation and lodging; helping prepare documents for travel reimbursement for faculty and student employees; developing and maintaining various records some of which are confidential; creating and distributing documents and other correspondence, Serve as liaison with personnel matters; aid with processing hiring documents; organize and manage personnel records. Hire and supervise office student assistants. Each semester prepare and process: evaluations of instruction, complete a database for books required for classes, book/instructional materials orders, collect grade reports, syllabi, etc. Assist in coordinating assessment information for department and programs.

Communication: Maintain the department listservs, creating new ones where necessary working with IT. Monitor departmental website and work with department chair and faculty to make updates, ensuring the department web presence stays as up to date as possible. Monitor department social media as necessary.

Course Scheduling: Collect each semester's class data to build a room utilization chart for classes and instructors. Build the courses in Banner and change them as neccesary, working with Program Coordinators and Department Chair.
Educational Requirements
High School Diploma or equivalent.
Other Required Qualifications

Required Experience
At least 4 years of administrative experience in supporting/managing varied aspects of day-to-day operations, long-term projects. Proficient in Excel and Google apps and platforms.
Preferred Educational Qualifications
Bachelor's degree.

Bachelor's degree. Higher education experience in administrative office. 3 years experience managing budget, accounts reconciliation, purchasing and procurement, employee expenses and reimbursements, basic accounting principles. Experience working with complex systems (e.g., Banner, PeopleSoft, Argos, EAB).
$20.19 Hourly. Paid on a Bi-Weekly Basis.
