About the Opportunity
Meridian Engineering is a heavy civil and industrial contractor delivering complex infrastructure projects across Arizona, New Mexico, and Colorado. Our work depends on safe, compliant, and well-coordinated transportation of people, equipment, and materials across multiple jurisdictions and regulatory environments.
The Fleet & DOT Compliance Coordinator plays a critical role in maintaining driver and fleet compliance with federal, state, and client requirements. This position ensures DOT adherence, permitting accuracy, audit-ready documentation, and the authority to escalate or halt dispatch activity when compliance risks are identified.
Successful Team Members in This Role Will…
- Maintain full compliance with DOT regulations, including driver records, inspections, logbooks, and permits
- Demonstrate strong working knowledge of HOS rules and exception handling
- Understand and apply intrastate vs. interstate DOT distinctions
- Navigate state-specific permitting requirements across Arizona, New Mexico, and Colorado
- Maintain audit-ready records within ISN Networld and HCSS
- Exercise sound judgment and escalation authority when non-compliance risks arise
Key Responsibilities
Driver & DOT Compliance
- Manage driver qualification program and lead efforts to maintain compliance adherent to DOT / FMCSA regulations
- Verify daily driver routes for DOT restrictions, load capacities, permits, and required accommodations
- Review and validate driver logbooks, HOS compliance, and exception usage
- Assist with driver timecard tracking and ensure Verizon logbooks are properly maintained
- Knowledge of load management, including axle spacing, tire sizes, and axel weights
Permits & Routing
- Monitor and update transport permit requirements based on job schedules and routing constraints
- Coordinate intrastate and interstate permitting needs, including oversize and overweight loads
- Schedule and confirm deliveries in HCSS, coordinating with job leads and third-party vendors
Fleet Records & Insurance
- Audit and maintain vehicle and equipment registration, insurance policies, annual inspections, and storage locations
- Maintain all fleet and equipment files in support of internal, client, and regulatory audits
- Collaborate with Insurance companies our locations including yards and job sites
Compliance Reporting & Audits
- Prepare and audit monthly TCS reports for form accuracy and compliance
- Maintain documentation within ISN Networld, ensuring timely updates and audit readiness
- Coordinate with third parties to ensure accurate fuel tax reporting and recordkeeping
Authority & Escalation
- Identify non-compliance conditions and escalate or stop dispatch activities when required to mitigate regulatory or safety risk
Measurements of Success
- Zero DOT violations or preventable audit findings
- Accurate, complete, and audit-ready driver and fleet records
- Timely permit acquisition with no job delays due to compliance gaps
- Effective escalation of compliance risks before operational impact
- High confidence from operations leadership in fleet and driver readiness
Qualifications
Required
- 3+ years of experience in DOT compliance, fleet compliance, or transportation operations
- Experience in construction, industrial services, or heavy equipment environments
- Strong working knowledge of: 1. DOT/FMCSA transportation regulations and driver compliance requirements, 2. HOS rules and exception handling, 3. Intrastate vs. interstate transportation distinctions
- Familiarity with ISN Networld and HCSS (or equivalent systems)
- Strong documentation, detail orientation, organization, and audit support skills
Preferred
- Multi-state DOT and permitting experience (AZ / NM / CO)
- Experience supporting internal or external compliance audits
- Exposure to fuel tax coordination (IFTA or third-party services)
- Experience supporting mixed fleets (company-owned and leased)
