Job Overview
We are seeking a highly organized and proactive Office Manager to oversee daily operations and ensure the smooth functioning of our office environment. The ideal candidate will possess strong administrative, supervisory, and communication skills, with experience in office management and related fields. This role involves coordinating various administrative functions, managing staff, and supporting overall business operations to foster an efficient and professional workplace.

Responsibilities

  • Oversee daily office operations, including front desk management and multi-line phone systems
  • Coordinate scheduling, calendar management, and event planning for company meetings and events
  • Supervise administrative staff, providing training and development opportunities
  • Manage vendor relationships and oversee vendor management activities
  • Handle bookkeeping, bookkeeping, payroll processing, budgeting, and financial record keeping using QuickBooks or similar software
  • Maintain organized filing systems and ensure proper documentation procedures are followed
  • Assist with human resources functions such as onboarding, employee records management, and compliance
  • Support medical office management tasks if applicable, including patient or client scheduling and record keeping
  • Ensure effective communication within the team through phone etiquette, email correspondence, and internal messaging systems
  • Develop and implement office policies to improve efficiency and productivity

Skills

  • Proven experience in office management or administrative roles with strong organizational skills
  • Supervising experience with team management capabilities
  • Proficiency in QuickBooks, bookkeeping, payroll processing, budgeting, and vendor management
  • Excellent communication skills with professional phone etiquette
  • Strong organizational skills with attention to detail in filing, calendar management, and schedule coordination
  • Experience in event planning and training & development initiatives
  • Ability to handle clerical tasks efficiently including front desk duties and multi-line phone systems
  • Knowledge of human resources practices and medical office management (preferred)
  • Ability to multitask effectively in a fast-paced environment with excellent time management skills
