Duties
- Greet visitors and manage front desk responsibilities with professionalism and warmth
- Operate multi-line phone systems, answer inquiries, and direct calls efficiently using excellent phone etiquette
- Handle data entry, filing, and document proofreading to maintain accurate records and correspondence
- Manage calendar appointments, schedule meetings, and coordinate office events with strong organizational skills
- Support bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing and expense tracking
- Assist with office management duties such as supply inventory, equipment maintenance, and general administrative support
- Provide customer service support by responding promptly to inquiries and assisting clients or staff as needed
- Assist the sales team with scheduling and quoting
- complete projects in a timely manure
Skills
- Self starter with the ability to take on new tasks
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications for seamless productivity
- Strong computer literacy with experience in data entry, filing systems, and document proofreading
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Bilingual abilities are highly desirable to serve diverse clients and team members
- Previous office experience or clerical background that demonstrates familiarity with administrative procedures
- Knowledge of phone etiquette and multi-line phone systems for professional communication
- Personal assistant or medical/dental receptionist experience is a plus for understanding client interactions and appointment scheduling
- Time management skills to handle multiple responsibilities efficiently while maintaining accuracy
