About the Role

As the first impression of our optometry clinic, our Medical Receptionist plays a critical role in creating a welcoming, efficient, and professional patient experience. We are looking for a friendly, organized, and dependable individual who enjoys multitasking and working as part of a collaborative healthcare team.
Key Responsibilities
- Answer and screen incoming calls, emails, and faxes from current and prospective patients
- Accurately enter and maintain patient demographic information in the practice management system
- Verify insurance eligibility and clearly communicate benefits to patients
- Schedule appointments according to provider availability, clinic hours, and patient needs
- Perform basic phone triage and process referrals
- Manage patient check-in and check-out
- Ensure all required forms are completed and signed
- Scan, upload, and organize patient documentation
- Collect co-pays, deductibles, and post payments accurately
- Balance nightly financials
- Serve as a primary point of contact to strengthen patient relationships
- Deliver a consistently positive, professional, and "WOW" patient experience
Office & Technical Skills
- Basic computer proficiency, including Microsoft Office, Windows, and internet navigation
- Accurate and efficient typing skills
- Familiarity with practice management software (preferred)
- Knowledge of administrative and clerical procedures
- Understanding of billing and insurance processes
- Working knowledge of medical terminology (optometry experience a plus)
- Full understanding of and compliance with HIPAA regulations

Attendance & Punctuality Expectations
- Reliable attendance and punctuality are essential functions of this position
- Employees are expected to arrive on time and be fully prepared for all scheduled shifts
- Consistent attendance is critical to patient care, clinic operations, and team success
Education & Experience
- High school diploma or equivalent (required)
- Minimum of 1 year of customer service experience (required)
- Minimum of 1 year of computer skills experience (required)
- Medical office experience preferred
- Optometry or vision care experience a plus
Schedule & Hours
- Expected hours: up to 40 per week
- Monday–Thursday: 8:00 a.m.–6:00 p.m.
- Friday: 8:00 a.m.–3:00 p.m.
- Up to two Saturdays per year
- 8-hour shifts, Monday through Friday
