Position Summary

The Administration and Communications Coordinator plays a vital role in advancing the organization's mission by managing internal and external communications, supporting administrative operations, maintaining digital platforms, coordinating volunteer engagement, and providing direct executive-level administrative support to the Executive Director. This position serves as a connector—helping people stay informed, organized, engaged, and aligned with the organization's values and goals.

This role requires a highly organized, trustworthy, people-oriented individual who can manage multiple responsibilities with professionalism, discretion, and care.

Key Responsibilities

Communications & Digital Presence

  • Develop and manage organizational communications across platforms, including email, social media, website, and print materials

  • Create, schedule, and post content for social media platforms in alignment with organizational messaging and brand voice

  • Maintain and update the organization's website, ensuring content is current, accurate, and accessible

  • Assist with storytelling efforts, including volunteer highlights, impact updates, and event promotion

  • Support internal communications to staff and volunteers

Volunteer Engagement & Coordination

  • Assist with volunteer recruitment, onboarding, scheduling, and communication

  • Maintain volunteer records and databases

  • Serve as a primary point of contact for volunteer inquiries

  • Help foster a positive and supportive volunteer experience

  • Support volunteer recognition and appreciation efforts

Executive & Administrative Support

  • Provide direct administrative and executive support to the Executive Director

  • Manage calendars, schedule meetings, and coordinate logistics on behalf of the Executive Director

  • Prepare correspondence, reports, agendas, presentations, and briefing materials

  • Track action items, follow-ups, and deadlines to support effective leadership and decision-making

  • Serve as a gatekeeper and liaison for internal and external communications directed to the Executive Director

  • Handle sensitive and confidential information with discretion and professionalism

  • Assist with board-related administration, including meeting preparation, minutes, and document distribution

  • Support basic bookkeeping, expense tracking, and reimbursement processes as assigned

  • Help improve and maintain administrative systems, workflows, and organizational documentation

Administrative & Operational Support

  • Provide administrative support to leadership and programs as needed

  • Assist with document preparation, data entry, and record keeping

  • Help coordinate meetings, trainings, and events

  • Support basic operational systems and processes to ensure smooth day-to-day functioning

Collaboration & Mission Support

  • Work closely with leadership, staff, and volunteers to ensure consistent messaging and engagement

  • Support special projects and initiatives as assigned

  • Uphold the organization's mission, values, and culture in all communications and interactions

Qualifications

Required

  • Strong written and verbal communication skills

  • Excellent organizational, prioritization, and time-management abilities

  • High level of professionalism, discretion, and trustworthiness

  • Comfort using digital tools such as email platforms, social media, calendars, and content management systems

  • Ability to manage multiple tasks with attention to detail and follow-through

  • Strong interpersonal skills and a heart for serving people

  • Ability to work independently while collaborating effectively with leadership and teams

Preferred

  • Experience working as an executive assistant, administrative coordinator, or similar role

  • Experience in a nonprofit, faith-based, or volunteer-driven organization

  • Familiarity with social media scheduling tools and basic website management

  • Experience coordinating volunteers or community engagement efforts

  • Basic graphic design or content creation skills (e.g., Canva)

Work Environment

  • Primarily office-based with occasional evening or weekend responsibilities for events or leadership needs

  • Collaborative, mission-driven work culture

  • Position requires a high level of trust, initiative, and adaptability

Reports To

Executive Director

Pay: $45, $50,000.00 per year
