Summary of Functions

The Senior Administrative Assistant performs advanced administrative duties, often independently managing departmental support functions. This role requires discretion, problem-solving, and the ability to support leadership with complex tasks and confidential information.

Essential Duties and Responsibilities

  • Draft and edit correspondence, reports, and policies.
  • Coordinate travel arrangements, meeting logistics, and calendars for leadership.
  • Maintain confidential files and records.
  • Assist in preparing budgets, tracking expenses, and financial reports.
  • Provide project support including research and presentation preparation.
  • Act as liaison with internal departments and external partners.

Organizational Relationships

  • Reports to Department Manager or Director.
  • Supports department leadership and staff.
  • Interacts with external stakeholders.

Qualifications

  • Associate's degree required; Bachelor's degree preferred.
  • 4–6 years of administrative or executive support experience.
  • Advanced proficiency with Microsoft Office and scheduling tools.
  • Strong interpersonal, communication, and organizational skills.
  • Ability to handle confidential information with discretion.

Physical Demands

  • Prolonged sitting and computer use.
  • Occasional lifting up to 30 lbs.

Work Environment

  • Office-based with potential hybrid work options.
  • High interaction with leadership and external contacts.

Travel

  • 5–10% travel for meetings, events, or training.
