We are seeking an energetic and detail-oriented Event Venue Coordinator to lead the planning, organization, and execution of a diverse range of events at our premier venue. Responsibilities
- Collaborate with clients to understand their event needs, providing expert guidance on venue options, services, and enhancements.
- Negotiate contracts with clients, vendors, caterers, and suppliers to secure favorable terms and ensure all agreements align with venue policies.
- Coordinate all event logistics, including setup, rental items and services needed, bar services requested, audiovisual requirements, decorations, and staffing to guarantee seamless execution.
- Develop detailed event timelines and budgets; monitor expenses closely to stay within financial parameters while maximizing revenue opportunities through upselling additional services.
- Oversee marketing efforts for upcoming events by promoting the venue through various channels and engaging in event marketing strategies to attract diverse clientele.
- Manage vendor relationships and oversee catering arrangements, banquet services, and other hospitality functions to deliver top-tier guest experiences.
- Provide exceptional customer service by addressing client inquiries promptly, managing expectations professionally, and ensuring overall satisfaction throughout the event lifecycle.
- Supervise on-site staff during events, ensuring organizational efficiency and adherence to safety standards.
- Conduct post-event evaluations to gather feedback for continuous improvement and implement best practices for future events.
Experience
- Proven experience in event planning or management within hospitality settings such as hotels, restaurants, or banquet facilities.
- Strong background in negotiations, contracts management, and upselling techniques to maximize venue revenue.
- Familiarity with event marketing strategies and promotional activities to boost venue visibility.
- Demonstrated ability to coordinate multiple events simultaneously while maintaining attention to detail and meeting deadlines.
- Excellent communication skills with the ability to build rapport with clients, vendors, and team members effectively.
- Experience in budgeting, cost control, and financial management related to event operations.
- Knowledge of catering services, banquet operations, and hospitality standards is highly desirable; restaurant or hotel experience is a plus.
