Job Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to support payroll for P/w projects, CCIP/OCIP insurance, and wrap works operations within our office. The ideal candidate will possess strong office management skills, proficiency in various software tools, and excellent customer service abilities. Responsibilities
- Review of Purchase order, project contracts, MSA and discuss the KEY risk area, compliance issues with management
- Track licensing, permits, and certifications for ongoing projects
- Administer and track all insurance certificates, general liability, workers' compensation, and auto insurance for contractors and vendors.
- Oversee Owner Controlled Insurance Program (OCIP) or Contractor Controlled Insurance Program (CCIP), aka Wrap-Up Insurance.
- Verify subcontractor compliance with contractual insurance limits and endorsements.
- Coordinate with brokers, insurers, and project managers to resolve coverage issues or claims.
- Maintain insurance logs, renewal schedules, and proof of coverage documentation.
- Utilize Microsoft Office Suite (Word, Excel, Outlook) and other online tools & software
- Ensure proper phone etiquette is maintained at all times
- Monitor project compliance with corporate policies, legal standards, and local/state/federal construction regulations.
- Serve as the main contact for Wrap-Up enrollment, certificates, and reporting.
- Coordinate with safety and project management teams to ensure all enrolled parties are compliant.
- Track payroll reporting and project cost data relevant to the wrap-up policy.
- Prepare reports for underwriters, owners, and corporate risk management.
Experience
- Prior office experience in administrative roles preferred
- Experience with QuickBooks or similar bookkeeping software is highly desirable
- Background in medical or dental receptionist work is a plus
- Bilingual skills are advantageous for communicating with diverse clients and staff
- Proven organizational skills with the ability to manage multiple priorities effectively
- Strong typing skills along with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace
- Excellent communication skills, including phone etiquette and customer support experience
- Familiarity with clerical tasks such as data entry, proofreading, filing, and calendar management
- Experience in office management or personal assistant roles is beneficial
