We are seeking a highly organized, detail-oriented Office Manager to oversee daily operations of our real estate brokerage. This role is critical to ensuring smooth office functionality, compliance with state and brokerage regulations, agent support, and overall administrative efficiency. The ideal candidate thrives in a fast-paced environment, understands real estate workflows, and can act as the operational backbone of the brokerage.

Key Responsibilities
Office & Brokerage Operations
Manage day-to-day office operations and administrative systems
Serve as the primary point of contact for agents, vendors, and clients
Maintain office organization, supplies, equipment, and vendor relationships
Implement and improve office procedures, workflows, and best practices
Agent Support & Onboarding
Onboard new agents, including licensing verification, paperwork, and system setup
Assist agents with transaction questions, forms, and brokerage procedures
Track agent licenses, CE requirements, and renewals
Coordinate agent training, meetings, and internal communications
Transaction & Compliance Management
Review and manage transaction files for completeness and compliance
Ensure adherence to state real estate regulations and brokerage policies
Maintain digital and physical records in accordance with retention requirements
Coordinate with managing broker on audits and compliance reviews
Financial & Administrative Support
Process invoices, reimbursements, and basic bookkeeping tasks
Track commissions, transaction fees, and agent splits (as applicable)
Coordinate with accounting, payroll, and external vendors
Assist with budgeting, expense tracking, and reporting
Marketing & Office Coordination
Support marketing initiatives, listings, and agent branding needs
Coordinate signage, business cards, and promotional materials
Manage office calendars, meetings, and brokerage events
Assist with social media or marketing platforms as needed

Qualifications
2+ years of office management or administrative experience (real estate preferred)
Strong understanding of real estate transactions and terminology
Excellent organizational and time-management skills
High attention to detail and accuracy
Proficiency in Microsoft Office, Google Workspace, and real estate platforms (MLS, transaction management software, CRM)
Strong written and verbal communication skills
Ability to multitask and prioritize in a deadline-driven environment

Preferred Experience
Prior experience in a real estate brokerage or title/transaction coordination
Familiarity with state real estate compliance requirements
Experience supporting multiple agents and high transaction volume
Bookkeeping or commission tracking experience
