We are seeking a professional and organized Front Desk Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires excellent communication skills, proficiency in office management tools, and the ability to handle multiple tasks efficiently. The Front Desk Receptionist will play a vital role in maintaining a welcoming environment and ensuring smooth daily operations within our office setting.
Responsibilities
- Greet visitors and clients warmly, ensuring a positive first impression
- Manage multi-line phone systems, directing calls appropriately and taking detailed messages
- Schedule appointments, manage calendars, and coordinate meeting logistics
- Handle data entry, filing, and document proofreading with accuracy and attention to detail
- Utilize office management software such as QuickBooks, Microsoft Office, and Google Workspace for various administrative tasks
- Maintain organized records of client information and correspondence
- Provide customer support by addressing inquiries promptly and professionally
- Assist with clerical duties including typing, photocopying, and maintaining office supplies
- Ensure the reception area remains tidy and welcoming at all times
- Support office management tasks as needed, including bookkeeping and calendar management
Skills
- Proven experience in office administration or reception roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Familiarity with QuickBooks or similar bookkeeping software is a plus
- Excellent phone etiquette and communication skills; bilingual abilities are highly desirable
- Strong computer literacy with the ability to learn new software quickly
- Exceptional organizational skills with attention to detail in proofreading and data entry tasks
- Ability to manage time effectively and prioritize multiple responsibilities efficiently
- Previous experience in medical or dental receptionist roles is advantageous but not required
- Personal assistant experience or office management background is beneficial
- Knowledge of clerical procedures such as filing, calendar management, and record keeping
