About the Role
We are seeking a highly capable Executive Assistant to work directly with the CEO of a multi-entity organization that includes a Automobile/Powersports dealership as well as real estate, construction, and property management businesses.
This role requires prior, hands-on experience in these industries. The ideal candidate understands auto dealership operations and the fundamentals of real estate, property management, and construction, and can quickly grasp conversations, capture direction accurately, and keep the CEO organized and focused.
This is a true right-hand role, focused on managing the CEO's time, information, files, and follow-through, not managing staff.
Core Responsibilities
Direct CEO Support
- Manage the CEO's calendar, daily schedule, and priorities
- Prepare daily and weekly agendas and briefing materials
- Attend meetings and calls as needed to take clear, accurate notes
- Capture direction quickly and translate it into actionable follow-ups
- Track tasks, deadlines, and commitments across all business entities
- Handle sensitive and confidential matters with discretion
File, Document & Information Management
- Organize and maintain the CEO's business files, contracts, and records
- Manage documents related to dealership operations, real estate, construction projects, and property management
- Ensure key information is well organized, accessible, and up to date
- Draft emails, summaries, and internal communication on behalf of the CEO
Industry-Specific Coordination
- Communicate with dealership managers, vendors, lenders, and manufacturers
- Coordinate with property managers, contractors, developers, and real estate professionals
- Understand terminology, timelines, and workflows within Automobile/Powersports dealership and construction/property environments
- Ensure the CEO is prepared with relevant information before meetings and decisions
Administrative & Special Projects
- Support both business and limited personal administrative needs
- Assist with special projects across multiple companies
- Proactively identify issues and help keep operations running smoothly
Required Experience & Qualifications
- Minimum 3+ years supporting an owner, CEO, or senior executive
- Must be Bilingual (REQUIRED)
- Direct experience in the dealership business (Automobile or Powersports REQUIRED)
- Direct experience in real estate, property management, and/or construction REQUIRED
- Must have purchasing experience in these industries
- Must have sales knowledge
- Self Starter

- Strong organizational and time-management skills
- Excellent note-taking and follow-up abilities
- Sharp listener who captures direction quickly and accurately
- Professional, dependable, and detail-oriented
- High level of discretion and trustworthiness
- Proficient in Microsoft Office / Google Workspace; comfortable learning new systems
