Job Summary
We are seeking a proactive and organized Office Assistant to join our Home Care Agency team. This vital role ensures smooth daily operations by managing administrative tasks, providing exceptional customer service, and supporting office management functions. Duties

  • Candidate will be assisting the office manager with daily duties
  • Greet visitors and clients warmly at the front desk, providing professional customer support and assistance
  • Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette
  • Handle data entry, filing, and document proofreading to maintain accurate records and ensure information integrity
  • Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for scheduling, correspondence, and documentation
  • Assist with calendar management and appointment scheduling for staff and caregivers
  • Support office management tasks such as inventory tracking, supply ordering, and maintaining organized filing systems
  • Perform general clerical duties including photocopying, faxing, and managing incoming/outgoing mail

Requirements

  • Home Care Office experience is a plus
  • Proven experience in office administration or clerical roles within healthcare or similar environments
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry skills
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced setting
  • Bilingual abilities are highly preferred to serve diverse client needs effectively
  • Prior experience with QuickBooks or bookkeeping is a plus for handling basic financial tasks
  • Demonstrated customer service excellence and professional phone etiquette
  • Ability to manage time efficiently and prioritize tasks independently
  • Previous experience as a dental or medical receptionist or personal assistant is advantageous
