Position Overview

The Part-Time Event Facility Manager is responsible for the on-site coordination and smooth execution of events at our upscale event venue. This role serves as the primary point of contact during assigned shifts and ensures that all vendors, services, and venue operations are properly scheduled, set up, and executed to deliver a seamless guest and client experience.

Key Responsibilities Event & Vendor Coordination

  • Coordinate and communicate with approved vendors, including caterers, decorators, DJs, security, and cleaning services as needed
  • Schedule licensed security guards and post-event cleaning services for each event
  • Ensure vendors adhere to venue policies, timelines, and load-in/load-out procedures
  • Act as on-site liaison between client and vendors during events

Client & Booking Management

  • Conduct venue tours on Thursdays for prospective clients
  • Manage event calendar and booking schedule
  • Follow up with booked clients regarding timelines, walkthroughs, and event details
  • Communicate venue rules, access times, and event expectations clearly and professionally

Facility & Event Operations

  • Set up tables, chairs, and basic room layouts according to event floor plans
  • Oversee room flips and breakdowns when required
  • Monitor event flow to ensure timelines are followed
  • Address on-site issues or client concerns in real time

Technology & Systems Operation

  • Operate venue applications and systems for:
  • TVs and displays
  • Audio and sound systems
  • Lighting controls
  • Air conditioning, fans, and climate controls
  • Troubleshoot basic technical issues or escalate when needed

General Facility Oversight

  • Ensure venue is clean, secure, and event-ready prior to guest arrival
  • Conduct pre- and post-event walkthroughs
  • Enforce safety, capacity, and venue policies
  • Secure the facility at the conclusion of events

Qualifications

  • Minimum 2 years of experience in event coordination, venue management, hospitality, or a related field
  • Experience working with vendors, service providers, or event staff
  • Comfortable managing multiple events, timelines, and client communications
  • Availability to work Thursday–Saturday, including evenings
  • Ability to occasionally support weekday events with advance notice

  • Ability to walk, stand, and be active for extended periods during events

Preferred (Not Required)

  • Experience working in weddings, quinceañeras, banquets, or large-scale events
  • Familiarity with security staffing requirements for alcohol-served events
  • Knowledge of Riverside or Southern California event market
  • Bilingual (Spanish/English)
