Job Overview
We are seeking a highly organized and proactive Office Administrator to oversee daily office operations and ensure smooth administrative functions. The ideal candidate will possess strong communication and organizational skills, with experience in office management, clerical tasks, and team coordination. This role offers an opportunity to contribute to a dynamic environment, supporting various departments including human resources, finance, and operations. Provides support to Customer Service Coordinator and office team, ensuring seamless customer service during high-volume periods and handling routine administrative tasks that keep the office running efficiently.

**Please note that this position will be Seasonal (March-December)

Duties

  • Greeting visitors to the office
  • Supporting the Office Leader and Scheduler with clerical tasks
  • Answering and routing phone calls from customers, vendors, and employees
  • Oversee vendor management, including procurement and relationship building
  • Providing basic information about services to potential customer
  • Assist in event planning and coordinate logistics for company events or meetings
  • Support human resources functions such as onboarding, employee records management, and HR compliance
  • Oversee office supply inventory and ensure the maintenance of office equipment
  • Ensure adherence to office policies and procedures while fostering a positive work environment Qualifications
  • Proven experience in office management, administrative support, or clerical roles within a professional setting
  • Strong proficiency in QuickBooks, calendar management tools, and multi-line phone systems
  • Excellent communication skills—both verbal and written—and professional phone etiquette
  • Demonstrated organizational skills with the ability to multitask effectively under deadlines
  • Supervising experience preferred; capable of leading teams and managing vendor relationships
  • Knowledge of human resources processes including payroll, onboarding, and employee record management
  • Experience with event planning, budgeting, bookkeeping, and medical office management is a plus
  • Ability to adapt quickly to changing priorities in a fast-paced environment
  • High level of professionalism with attention to detail and confidentiality

Pay: $ $25.00 per hour

Expected hours: 40.0 per week
