Proactively support Sales Managers to meet customer’s needs, from start of the customer journey through to completion.
High levels of diligence, accuracy and pace need to operate within set business processes and procedures whilst maximising customer satisfaction.
Conduct weekly overview of customer portfolio with key stakeholders across the business.
Identify potential risks or opportunities and inform Sales Managers to follow up.
Assist customers and Sales Managers with all account related questions. Provide accurate timely information regarding enquiries.
Be the link between departments across the business to ensure customer expectations are met.
Accurately update our in-house ERP system in a timely manner. Use data to look for trends and problems, take a proactive approach to managing your own data.
Generate Equipment Sales agreements for new customer orders. Work with Commercial to allocate appropriate equipment and budget costs. Generate purchase orders for required work.
Work with in-house and out-of-house finance companies to produce proformas and invoices.
Raise Workshop prep job sheets and coordinate with multiple departments to ensure specifications are correct and machines will be ready for dispatch in line with customer expectations.
Liaise with the production line to ensure machines are completed to customer specification and will be ready for dispatch, updating the results in ERP. Raise third‑party install purchase orders, coordinate work required from inception of order through to completion of work. Update production data on the ERP system: promise dates, production weeks, arrival of orders and subcontract work. Cost invoicing completed and delivered works orders. Action job sheets, including printing and door stickers. Create machine certificates and documentation. Ensure this is placed in the cab of the machine and uploaded on ERP. Update system and job packs with parts arrival information. Gatekeep Workshop Engineers labour on ERP ensuring this is up to date and accurate at all times.
Keep all PDI sheets accurate, including machine certificates prior to machine delivery to customer.
Order new and used plant & equipment from OEMs and maintain accurate equipment records. Raise equipment purchase orders, process goods receiving and coordinate prompt payments to suppliers. Check and validate order confirmation and invoices – update our ERP system to accurately reflect and flag any changes to the Commercial team.
Action any machine swaps once notified, including updating ERP with photos to provide accuracy. Update job sheets and door stickers during machine swaps and machine amendments to ensure accuracy of the equipment on ERP.
Answer incoming telephone calls, being the first point of contact for existing and prospective customers.
Any other tasks required by the business, within capabilities.
Skills and Attributes:
Essential

Ability to multi‑task and prioritise own tasks as required.
Proficient in the use of Microsoft Office Suite, including Excel and Outlook.
Strong communication skills and able to build relationships with key stakeholders.
Desirable
Experience from a Plant, Truck, or Agricultural sales administration background advantageous but not essential.
Familiarity with dealer management systems.

Work Experience & Education Requirements:
Good general level of education including English, Maths, and IT.
