We are seeking a dynamic and organized Receptionist Scheduler to join our healthcare team to support two medical practices In this vital role, you will serve as the first point of contact for patients and visitors, managing front desk operations with enthusiasm and professionalism. Your expertise in medical scheduling, patient service, and office management will ensure smooth daily operations. You will coordinate appointments, verify insurance information, and support clinical staff by maintaining accurate medical records and documentation. This position offers an exciting opportunity to contribute to a patient-centered environment while utilizing your strong administrative skills and healthcare knowledge.

Duties

  • Manage patient appointments and coordinate schedules across multiple providers using EMR (Electronic Medical Record) systems such as Epic, Meditech, or Athenahealth
  • Verify insurance coverage, perform insurance authorization and verification processes, including Medicare and Medicaid requirements
  • Answer multi-line phone systems with excellent phone etiquette, providing courteous assistance to patients and staff
  • Maintain accurate medical records, review documentation for completeness, and ensure compliance with HIPAA regulations
  • Assist with intake procedures, including collecting patient information and updating health histories in EHR (Electronic Health Record) systems like eClinicalWorks or Dentrix
  • Support medical billing and coding processes by understanding CPT (Current Procedural Terminology), ICD-9/10 coding, and medical terminology
  • Schedule follow-up appointments, care plans, and procedures while managing cancellations or rescheduling efficiently
  • Perform clerical duties such as filing, data entry using 10-key typing skills, and maintaining organized medical files
  • Provide exceptional patient service by addressing inquiries promptly and professionally in a fast-paced clinic environment
  • Collaborate with clinical staff to ensure seamless office management and optimal patient flow

Qualifications

  • Proven experience in a medical office setting or healthcare environment with strong clinic experience
  • Familiarity with EMR/EHR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, or Dentrix is highly preferred
  • Knowledge of medical billing, coding (ICD-10/ICD-9), CPT coding, insurance verification, and health information management
  • Excellent computer skills including proficiency in Microsoft Office applications and office management software
  • Strong understanding of HIPAA regulations to ensure patient confidentiality and data security
  • Bilingual abilities are a plus to effectively serve diverse patient populations
  • Exceptional organizational skills with attention to detail in documentation review and appointment scheduling
  • Outstanding customer service skills combined with professional phone etiquette and the ability to handle multi-line phone systems efficiently
  • Ability to work independently while maintaining a positive attitude in a busy clinic setting
