Job Summary
We are seeking a detail-oriented Project Specialist to drive the successful planning, execution, administration, and delivery of projects for our small 130-year-old non-profit organization with a mission to enhance animal welfare and the field of veterinary medicine. The position is permanent, part-time, 25 hours a week. It is mainly a remote position with some on-site requirements. Some of the hours periodically take place on the weekend. A valid driver's license and a car are required.
In this role, you will leverage your expertise in diverse areas--multitasking, project management, administrative operations, process improvement, and techniques to ensure initiatives meet scope, schedule, budget, customer service, and quality standards. Your proactive approach will optimize workflows and foster continuous improvement. Duties
- Take charge of individual projects and administrative, operational tasks defining scope, objectives, deliverables, and timelines using best-practice tools.
- Develop project schedules and budgets and procedures and policies to monitor progress.
- Develop Standard Operating Proceodures
- Anticipate tools and concepts to strengthen the organization.
- Develop marketing communications and newsletters
- Staff liaison to the Education Committee handling all operational duties connected to Education Programming both online and in-person.
- Facilitate requirements gathering sessions with stakeholders and staff to capture detailed needs and translate them into clear specifications.
- Oversee project implementation phases ensuring adherence to best practices.
- Manage and develop vendor relationships and contracts while coordinating cross-functional tools for seamless communication.
- Manage and develop instructor relationships and contracts
- Staff liaison to assigned committee meetings to stay in-line with committee and Executive Director directives and to ensure operational effectiveness to meet the goals.
- Prepare reports and presentations for executive leadership and education needs.
- Social media administration
- Website administration
Experience
- Demonstrated expertise in program planning and development.
- Background with CRM platforms, Word Press, and Website administration
- Strong background in communications and education programming both online and in-person.
- Experience with Adobe Pro, Power Point creation, marketing email platform (Constant Contact or MailChimp), Outlook, Microsoft.
- Excellent organizational skills paired with leadership capabilities

The position responsibilities involve the administration of the education programs both in-person and online; membership administration and development; data entry; record keeping; development of standard operating procedures; collaboration on creation of and distribution of communications; marketing; public relations; staff liaison to committees. Skills in website administration, Adobe, Outlook, and Microsoft are desired.
The candidate will have a minimum of a bachelor's degree and have an interest in a non-profit, trade organization with a compelling mission.
Compensation: Compensation for this part-time, permanent position is $30,000 annually.
