The Office Administrator supports the Facilities Management leadership team by ensuring smooth administrative operations and consistent adherence to university policies and procedures. This role provides timely, accurate, and proactive administrative support to enhance service delivery for the campus community, students, faculty, and Facilities staff. The Office Administrator will assist Facilities managers with onboarding processes, documentation, and coordination activities essential to the successful operation of campus facilities services.
Responsibilities

1. Perform general administrative functions including data entry, answering phones, filing, scheduling, copying, and managing departmental communications.

2. Provide excellent customer service to students, faculty, staff, and campus visitors.

3. Maintain accurate administrative records, digital files, and Facilities Management documentation in accordance with university standards.

4. Create and maintain spreadsheets, track data, develop reports, and apply formulas as needed for Facilities operations.

5. Assist with developing presentations, written procedures, and internal policies for the Facilities Management team.

6. Process onboarding and offboarding paperwork for Facilities staff, including coordinating background checks and ensuring completion of required documentation.

7. Greet visitors and support the front-office function in a professional, service-oriented manner.

8. Prepare routine and ad-hoc reports for Facilities leadership (e.g., work order metrics, staffing reports, compliance tracking).

9. Provide administrative support for departmental meetings, trainings, and campus events.

10. Manage office supplies, equipment, and service requests for the Facilities office.

11. Support additional duties or projects as assigned by Facilities leadership

Qualifications

1. High school diploma required; associate degree or higher preferred, especially in business administration, office management, or a related field.

2. Minimum of three years of administrative, office management, or executive assistant experience, preferably in facilities, operations, or a higher education environment.

3. High energy, professional demeanor, and a positive, team-oriented attitude.

4. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); familiarity with facilities management or work order systems is a plus.

5. Experience with timekeeping, employee record maintenance, or HR administrative processes.

6. Strong organizational skills with the ability to prioritize tasks, manage time effectively, and meet deadlines.

7. Excellent interpersonal, verbal, and written communication skills.

8. Ability to work collaboratively in a fast-paced, service-focused team environment.

9. Demonstrated sense of urgency, initiative, and ability to work with minimal supervision.

10. Ability to handle confidential information with discretion.

11. Skilled at multitasking while maintaining accuracy and attention to detail.

12. Strong English verbal and written communication skills.
