As we continue to grow, we are seeking a detail-oriented Payroll Support Specialist to join our team in Moorestown, NJ. This role is critical to ensuring accurate payroll processing, reporting, and compliance while providing excellent service to our employees.

Position Summary

The Payroll Support Specialist provides administrative and operational support to the payroll function to ensure accurate, timely payroll processing and compliance. This role supports payroll reporting and analytics, benefits invoicing, 401(k) administration, recordkeeping, and day-to-day clerical duties.

Advanced proficiency in Microsoft Excel is REQUIRED for this role.
(Excel skills will be used daily for reporting, reconciliation, analytics, and dashboards.)

Key Responsibilities

Payroll Support & Processing

  • Review and verify timecards, attendance records, and payroll data for accuracy
  • Enter payroll adjustments, bonuses, and commissions as needed
  • Support payroll audits and reconciliation efforts
  • Respond to employee payroll inquiries with professionalism and discretion

Reporting & Analytics

  • Generate standard and ad-hoc payroll reports
  • Assist with payroll data analysis, trend tracking, and metrics reporting
  • Maintain payroll dashboards and summary reports for leadership
  • Heavy Excel usage (pivot tables, formulas, reporting, reconciliation)

Benefits & 401(k) Administration

  • Reconcile monthly benefits invoices and resolve discrepancies
  • Assist with benefit premium tracking and vendor payments
  • Support 401(k) administration, including contributions, audits, and compliance testing
  • Prepare documentation for plan audits and regulatory filings

Compliance & Recordkeeping

  • Maintain payroll records in accordance with retention requirements
  • Assist with quarterly and annual filings (W-2s, 941s, state filings, etc.)
  • Scan, file, and organize payroll and benefits documentation
  • Support internal and external audits

Administrative & Clerical Support

  • Perform data entry, document scanning, filing, and record maintenance
  • Prepare payroll-related correspondence and communications
  • Track deadlines and maintain compliance calendars
  • Provide general administrative support to HR and Payroll teams

Customer Service

  • Serve as a primary point of contact for employee payroll and benefits questions
  • Provide clear, courteous, and timely responses
  • Escalate complex issues appropriately
  • Maintain a high level of confidentiality and professionalism

Qualifications

Required

  • High school diploma or equivalent (Associate's degree preferred)
  • 2+ years of payroll or HR administrative experience
  • Knowledge of payroll processes and compliance requirements
  • Advanced proficiency in Microsoft Excel (REQUIRED)
  • Strong attention to detail and accuracy
  • Excellent organizational and time-management skills
  • Strong customer service and communication skills

Preferred

  • Experience with multi-state payroll
  • Familiarity with HRIS and payroll platforms (ADP preferred)
  • Experience with benefits invoicing and 401(k) administration
  • Understanding of wage and hour laws
