ACE (Advanced Corporate & Community Events) is a sub company from NSVA that plans and produces strategic, results-driven events that connect people and drive measurable outcomes — fundraising, engagement, brand growth, and community impact. We've produced 500+ events across corporate, nonprofit, association, and community spaces, and we're known for making planning feel organized, approachable, and genuinely enjoyable.

The Role

We're looking for an Event Planner who can confidently run point on events from kickoff to wrap-up. You'll manage timelines, vendors, budgets, and client communication — and you'll bring calm, proactive energy when things move fast (because they will).

This role is ideal for someone who loves both the strategy and the execution: building the plan, sweating the details, and showing up on-site to make it all happen.

What You'll Do

  • Lead event planning from discovery to post-event recap (corporate + nonprofit + community)
  • Build and manage project plans, timelines, run-of-show documents, and production schedules
  • Coordinate vendors (AV, catering, décor, rentals, venues, entertainment, printing, etc.)
  • Support budget planning, tracking, and reconciliation
  • Manage client communication: updates, decisions, approvals, and expectations
  • Create event briefs and ensure internal + vendor teams are aligned
  • Oversee on-site execution: load-in, setup, show flow, troubleshooting, and strike
  • Track risks, flag issues early, and propose solutions (no surprises)
  • Contribute ideas to elevate guest experience while staying aligned to goals + budget
  • Support post-event reporting: earnings, feedback, and measurable outcomes

What We're Looking For

  • 2+ years of event planning/coordination experience (agency or in-house)
  • Comfortable working across corporate + nonprofit/charity/association environments
  • Strong project management skills (you love a timeline and a checklist)
  • Excellent communication — clear, friendly, and confident with clients + vendors
  • Calm under pressure and adaptable on-site
  • Detail-obsessed, but still able to see the big picture
  • Able to lift light event materials and be on your feet during event days
  • Available for occasional evenings/weekends (event-dependent)
  • Based in Dundas/ GTA with ability to travel locally

Nice to Have

  • Experience with trade shows, fundraisers, awards events, workshops, product launches, or team-building
  • Familiarity with venue/AV workflows and production schedules
  • Proficiency with tools like Google Workspace, Asana/Trello/Monday, Airtable, etc.
  • Valid driver's license
