The Talent Administrator is a foundational role ensuring every client has a consistent, organized, disciplined pathway to results.
About the Role
As the Talent Administrator, you are the operational engine behind each client's job search strategy. You ensure their actions translate into momentum - job sourcing, applications, outreach, weekly accountability, and progress tracking - all executed with precision, confidentiality, and care.
This is a
part-time, flexible, contract, remote role
ideal for someone who loves checklists, systems, structure, and helping others succeed.

Day 1 onboarding
through
landing their next position

Core Responsibilities
1. Job Sourcing & Applications (Done For You - DFY Operations)
- Source high-quality roles aligned to each client's target titles + industries.
- Analyze job descriptions for seniority, alignment, and competitive feasibility.
- Submit applications on clients' behalf using approved workflows + AI tools.
- Maintain a precise log of all applications and statuses inside our systems.
2. Networking & Outreach
- Identify hiring managers, recruiters, and team leaders using approved tools.
- Send LinkedIn connection requests + scripted outreach messages for each client.
- Log outcomes, responses, and next steps inside our CRM environment.
- Flag high-value networking opportunities to the Program Leader.
3. Weekly Client Monitoring & Checkpoints
- Conduct periodic check-ins (Zoom, Loom, or written report).
- Track metrics: applications, outreach, responses, interviews, offers.
- Identify friction points early and alert the Program Leader if engagement dips.
- Own onboarding and guide each client through their journey until job placement.
4. Market Assessments & Pivot Analysis
- When traction stalls (4 weeks, zero interviews), activate review process for a solution.
- Complete structured market assessments using Career Mastery templates:
- Demand signals
- Competitive landscape
- Role feasibility
- Alignment assessment
- Recommend adjustments and help prepare insights for client debriefs.
5. Collaboration & Internal Communication
- After gaining client consensus on the pivot direction, adjust the job-search strategy and all related support mechanisms accordingly.
- Partner closely with the Program Leader + Coaching Team
- Compile clear notes/recommendations for exec coach who will conduct client briefing with you
- Update all workflows, tracking systems, and communication channels to reflect the new strategic path.
- Apply, improve, and document SOPs
- Maintain confidentiality and professionalism at all times
- Elevate risks early - never let a client drift or disengage unnoticed

Minimum Requirements
- Reliable laptop + internet
- Strong attention to detail
- "Camera Ready" a minimum of 2 hours per day for clients
- Ability to follow processes and SOPs
- Professional written communication
- Comfort recording Loom or video updates
- Availability for 20 hours per week
- Basic LinkedIn familiarity helpful (not required)

Compensation & Hours
- Annual salary of $26K a year
- P/T work between hours per week based on client load
- $1,000 bi-weekly
