WHAT YOU WILL BE DOING

As the Assistant Project Manager at Hatcher Construction, you serve as the operational bridge between field teams, project managers, subcontractors, and clients—ensuring all project documentation, schedules, and communication remain on track and clearly organized.

You'll play a key role in coordinating the administrative and logistical backbone of each project—from permitting and procurement to change order documentation and progress tracking. This is an ideal position for a highly organized, construction-savvy professional who thrives on clarity, collaboration, and moving pieces into place with precision.

CORE RESPONSIBILITIES

Project Documentation & Communication

  • Manage and maintain project documentation including RFIs, submittals, drawings, and change orders
  • Support project managers in updating schedules, look-ahead timelines, and job logs
  • Manage permit status, inspection reports, and city correspondence
  • Communicate with clients and trade partners regarding updates, deliverables, and documentation requests

Subcontractor Coordination & Compliance

  • Collect and track all subcontractor insurance, licensing, and compliance forms
  • Organize subcontractor documentation in Procore or shared platforms
  • Support bid package distribution and subcontractor onboarding for new projects

Meeting Preparation & Support

  • Assist in preparing agendas, distributing meeting minutes, and tracking action items
  • Attend project meetings and coordinate follow-up assignments
  • Ensure deadlines for RFIs, submittals, and procurement are proactively managed

Procurement & Financial Admin Support

  • Track purchase orders, material deliveries, and vendor invoices
  • Coordinate material procurement timelines with field needs
  • Support tracking of job costs and matching documentation to purchase orders and contracts

Technology & Digital Workflow

  • Maintain and organize project data in Procore
  • Keep drawing logs, document control logs, and project directories up to date
  • Help ensure projects remain audit-ready and organized across phases

  • Project teams have seamless access to accurate, current documentation
  • Subcontractor onboarding and compliance are consistently handled on time
  • Project managers are supported with clear information and administrative backup
  • Communication with clients and vendors is professional, timely, and proactive
  • Construction projects remain coordinated, on track, and free of administrative bottlenecks

Ideal Candidate Profile

  • 3–5 years of experience in construction project coordination or construction administration
  • Excellent organizational and time management skills
  • Strong familiarity with construction workflows, terminology, and documentation
  • Proficient in Procore, Excel, Word, and digital filing systems
  • Clear communicator with the ability to manage details and deadlines
  • Professional, reliable, and confident under pressure
