Position Overview:
We are seeking a motivated Document Control Specialist to join our thriving document control team in our Fairfax, VA office. This role is responsible for all incoming physical mail the firm receives, and for uploading all the mail to our platforms in a timely manner. They also ensure to properly store and file physical documents. The Document Control Specialist must communicate with clients to coordinate pick up times or mail-outs to ensure the clients receive critical documents.
This is a full-time position based in Fairfax, VA, with the expectation of on-site presence five days a week Monday - Friday.
Key Duties:
- Open, log, scan, and upload mail to case management system
- add all critical dates (including interviews and court hearings) to calendar
- Assist in locating misplaced documents and files
- Research and problem solve issues pertaining to locating requested records.
- Handle sensitive and/or confidential documents and information.
- Coordinate return of original documents to clients.
- Properly store critical documents in the correct location.
- Monitor shelf space needs; organize/keep/shred documents.
- Communicate with clients to coordinate pick up/mail out of EADS/LPRS/Travel Docs, etc.
- Ensure all mailed money orders received are properly checked into the finance team.
- Provide support with front desk operations on an as-needed basis.
- Provide support with ECAS/FOIA inbox when needed.
- Back up colleagues when needed.
- Use time efficiently and well organized.
- Other duties as assigned.
Qualifications:
- High School Diploma/GED
- Must be fluent in Spanish (reading, writing, speaking)
- Be detail-oriented and highly organized
- Able to understand and follow written and verbal instructions
- Able to work in a fast-paced environment
- Excellent communication skills
- Excellent customer service skills and professional demeanor
Preferred qualifications:
- Bachelor's/associate's degree
- Experience using Salesforce and Microsoft 365
