Job Title: Volunteer Manager

Position Type: Full-time

Position Summary:

The Volunteer Manager (VM) maximizes the important resource of volunteers to assist in the delivery of the organization's programs and services. This includes recruiting, directly managing volunteers, and/or providing guidance, support, resources and tools to staff who supervise volunteers. The VM is responsible for managing all aspects of the volunteer program, which includes recognition, retention, and recruitment. The VM will play a pivotal role in recruiting, training, and coordinating volunteers while ensuring their actions and contributions remain aligned with the organization's core values, therefore people skills are a must. This role will report to the Development Director and play a vital role in the success of the development team.

Key Responsibilities:

Volunteer recruitment:

  • Manage volunteer inquiries via email, phone, and online platforms.
  • Coordinate volunteer orientations and trainings.
  • Match volunteers to appropriate roles based on skills, interests, and availability.
  • Maintain accurate volunteer records and hours in the volunteer database.
  • Assist with creating volunteer recruitment materials and promotional content.
  • Develop and implement effective strategies to recruit the right volunteers with the right skills.

Volunteer Program Management:

  • Organize and assist with all volunteer onboarding.
  • Develop and implement goals and objectives for the volunteer program which reflect the mission of the organization.
  • Conduct ongoing evaluation of the programs and services delivered by volunteers and implement improvements as necessary.
  • Develop and administer forms and records to document volunteer activities.
  • Facilitate corporate/school group volunteer events.
  • Prepare an annual report on the contribution of the volunteer program to the organization.
  • Administer and monitor expenditures for the volunteer program against the approved budget.

Volunteer Engagement and Retention:

  • Promote the volunteer program to gain community support for the organization.
  • Ensure volunteers comply with shelter policies, procedures, and safety guidelines.
  • Ensure that volunteers are given appropriate training to be successful in their positions.

Volunteer Recognition/Appreciation

  • Develop and implement a comprehensive recognition strategy that aligns with the organization's mission and values.
  • Organize and coordinate volunteer appreciation events, such as volunteer appreciation week, volunteer appreciation party, and monthly socials.
  • Manage recognition materials, such as certificates, badges, or thank you cards, to acknowledge volunteer contributions.
  • Utilize the organization's social media channels and newsletters to spotlight outstanding volunteers and post photos/videos of volunteers regularly.

Qualifications:

  • Bachelor's degree in social sciences, human resources, community development, or adult education, or 4 years of experience in a previous Volunteer Coordinator/Volunteer Manager role.
  • Ability to work in a fast-paced environment.
  • Ability to learn new systems and platforms quickly.
  • Knowledge of current trends, resources, and information related to volunteerism.
  • Proficiency in the use of computers for word processing and excel, database management, and various communication tools and platforms.
  • Supervisory or management experiences is a plus.
  • Previous Volunteer Management experience is a plus.
  • Previous experience in animal welfare, shelter management, or a related role is highly desirable.
  • Good communication and interpersonal skills.
  • Strong organizational and project management abilities. Time management and the ability to multi-task is a must.

Working conditions:

  • This position requires working weekends and select holidays and follows a Tuesday–Saturday schedule.
  • Shelter work requires flexibility and the willingness to work outside one's scope, including areas to which you are not assigned, when the need arises.
