What does an Administrative Assistant do?
At Helsell Fetterman, we provide high quality legal work to our clients. In order to provide high quality work, each law group needs to work as a team. This team member provides administrative support to the transaction side of law with a general focus to complete all non-billable work.
What else do they do?
- Receive and send all documents and other mailings.
- Follow procedures as dictated.
- Greets public in person, by email, Kenect and on the telephone, provides general information, answers questions and directs individuals to appropriate party as necessary.
- Manage case excel progress.
- Client intake, including conflict checks and preparing file.
- Handles all logistics around meetings as needed.
- Updates and monitors attorneys' calendars in Outlook.
- Updates attorneys' Contact files in Outlook.
- At attorney direction, creates and organizes legal documents and correspondence, briefs, contracts and court papers for one or more lawyers.
- Familiar with processes associated with court or other government entity, as applicable to the type of practice(s) supported, including reviewing court rules and practices.
- Open, maintain and archive client matters.
- Assists as requested in other areas of the firm.

- Ensures proper indexing and filing of original legal documents.

- Skills: Word, Excel, Outlook, Power Point; excellent spelling and grammar; good communication skills; organized; sets priorities; meets deadlines; able to multi-task; carefully proofs own work.
Must be able to:
- Communicate with co-workers and clients by telephone and e-mail;
- Use a keyboard several hours per day;
- Stand at and operate a copy machine for extended periods of time;
- Work overtime when needed, sometimes with little notice.
Why are we hiring?
This role will be focused on transactional work. Transactional work at Helsell Fetterman continues to grow. We are looking at the near future and seeing that there will be a need for additional administrative support. We would like to hire part-time and see the position grown with the work to eventually become full-time.
