Duties
- Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism and warmth
- Operate multi-line phone systems, answer inquiries, and route calls efficiently using proper phone etiquette
- Perform data entry, maintain accurate filing systems, and handle document proofreading to ensure clarity and precision
- Schedule appointments, manage calendars, and coordinate meetings to optimize time management for staff and executives
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping
- Support office management tasks including supply inventory, order processing, and general administrative duties
- Provide excellent customer support by addressing inquiries promptly and professionally across various communication channels
Skills
- It would be helpful , if you're knowledgeable about taxes , insurance & state, county, government rules and regulations.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications for seamless document creation and communication
- Strong organizational skills with the ability to multitask effectively in a busy environment
- Excellent typing speed and accuracy for data entry and correspondence drafting
- Bilingual abilities are highly desirable to serve diverse clientele effectively
- Office experience with clerical responsibilities such as filing, proofreading, and document management
- Knowledge of office management procedures including calendar management and personal assistant tasks
- Familiarity with medical or dental receptionist duties is a plus, along with experience in bookkeeping or financial recordkeeping
- Exceptional customer service skills combined with professional phone etiquette and time management abilities
