Overview
We are seeking a detail-oriented and organized Office Assistant to join our tax team. This role is vital in ensuring smooth daily operations within our office environment. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with various office software. Experience in office management, customer service, and clerical tasks is a plus. This position offers an opportunity to contribute to a professional setting while developing your office management expertise.

Duties

  • Manage front desk responsibilities, including greeting visitors warmly upon arrival and assist with data intake.
  • Handle client inquiries and requests promptly, both in person and by email.
  • Provide accurate information and assistance operating a multi-line phone systems efficiently, providing exceptional customer support.
  • Perform data entry and maintain accurate records using tax software.
  • Schedule appointments and manage calendar appointments while updating clients information.
  • Organize data received by clients, both in person and through online portals.
  • Assist with administrative tasks such as copying, filing, scanning data and invoicing, as needed.
  • Support office management activities such as organizing supplies and maintaining a clean workspace.
  • Provide administrative support to various departments, including personal assistant duties if required
  • Ensure phone etiquette is maintained during all communications, both internal and external

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google
  • Strong organizational skills with excellent time management abilities
  • Experience with data entry, filing systems, and document proofreading
  • Exceptional customer service skills with professional phone etiquette
  • Office experience in clerical or administrative roles preferred
  • Ability to handle multi-line phone systems efficiently and professionally
  • Strong computer literacy and familiarity with office equipment and software tools
  • Personal assistant or tax office receptionist experience is advantageous

This position is integral to maintaining an efficient and welcoming office environment. We value proactive individuals who can handle multiple tasks with professionalism.

Pay: Up to $600.00 per week
