Job Title: Office AssistantJob Description

We are seeking a highly organized and efficient Office Assistant to join our team. This role requires a proactive individual who can manage a variety of administrative tasks while ensuring smooth and efficient operations within the office. The ideal candidate will possess strong communication skills and have the ability to work collaboratively in a professional environment.

Responsibilities
  • Report to work on time and maintain reliable attendance.
  • Answer and route phone calls, respond to emails promptly and professionally.
  • Enter and manage sales orders, verify customer details, and update production schedules.
  • Prepare and maintain work orders, routers, and associated documentation.
  • Coordinate with production and shipping to ensure accurate order tracking and timely delivery.
  • Create and manage purchase orders for raw materials and non-inventory items.
  • Support Accounts Receivable by monitoring collections and preparing reports.
  • Handle invoicing, scanning, and electronic recordkeeping in various systems.
  • Maintain office and shop essentials inventory.
  • Assist with domestic and international shipping paperwork and coordination.
  • Support periodic inventory counts and data accuracy across ERP systems.
Essential Skills
  • Proficient in administrative support and Microsoft Office.
  • Experience with ERP systems and data entry.
  • Proven ability in order entry and management.

  • Attention to detail and accuracy.
  • Strong time management and follow-through skills.
  • Team-oriented with excellent communication skills.
  • Problem-solving and initiative.
  • Ability to handle multiple priorities in a fast-paced environment.
  • Experience handling export-controlled technology and/or technical data under U.S. laws (EAR and ITAR).
  • Core competencies in communication, personal organization, adaptability/flexibility, and decision making/judgment.
Work Environment

This is an office-based role with occasional interaction on the shop floor. The work schedule is Monday to Friday, from 7:30 AM to 4:00 PM. The workplace is a small service center with a very professional and team-oriented group of people. This is a Contract to Hire position based out of Springfield, NJ.

Pay and Benefits

The pay range for this position is $ $25.00/hr.
