North Suffolk is looking for an Administrative Assistant to join the Medical Team The ideal candidate will provide essential administrative support for the North Suffolk Community Services (NSCS) medical office setting. The Medical Administrative Assistant will handle administrative and operational daily responsibilities for the medical teams throughout North Suffolk clinics. They ensure that all activities and processes run smoothly. Medical administrative assistants need to possess excellent interpersonal, organizational and communication skills. The ideal candidate will provide essential administrative support in a medical office setting.

This position is full time in a medical office setting.

What you'll do:

  • Greets and welcomes all clinic visitors in a courteous and professional manner. Ensures that visitors have clinic business, and alerts a supervisor or manager with any security concerns. For those with appointments, verifies that insurance and demographic information is accurate and up to date in our electronic health record (EHR) and billing systems.
  • Maintains efficient operations of the front desk, and coordinates and delegates various functions to additional staff when needed.
  • Checks insurance eligibility according to protocol for all persons served and promptly conveys any problems to the appropriate billing or clinical staff. Presents prior authorization paperwork to clinicians on the same day to prevent lapses in insurance coverage.
  • Checks all releases for completeness and promptly mails all PCP releases (or others, as requested by clinician) and follows up that information has been released by covered agencies.
  • Participates in and oversees general office upkeep and maintenance, organization of paper files, coordination of repairs to office machines and ordering and restocking supplies, tracking petty cash and other duties as directed.
  • Other duties as assigned.

What you'll need:

  • Education:
  • High School Diploma or GED completion required
  • Associate's Degree preferred.
  • Skills & Experience:
  • Previous office experience, preferably in a healthcare setting and computer skills required. Knowledge of Windows applications required (Word, Excel, and Access)
  • Be or be able to become CPR/FA certified according to NSCS policy.
  • Bilingual Spanish preferred.
  • Work schedule flexibility required; travel to and working at or among all outpatient services sites may be required.
