Job Summary
We are seeking an energetic and detail-oriented Purchasing Coordinator to join our dynamic team.

The Purchaser is responsible for sourcing, ordering, and managing materials, equipment, and supplies to support company operations and project needs. This role ensures that purchases are made in a timely, cost-effective, and efficient manner, while maintaining high standards of quality and vendor relationships. The Purchaser plays a key role in coordinating between field staff, project managers, and vendors to ensure materials are available when needed.

Responsibilities

  • Review purchase requests and job material lists to ensure accuracy and completeness before placing orders.
  • Work closely with project managers, warehouse staff, and field personnel; proactively communicate material delays, backorders, and pricing changes
  • Source and order materials, equipment, and supplies from approved vendors.
  • Obtain competitive pricing and negotiate terms to optimize cost savings.
  • Track and confirm order status, shipment, and delivery schedules to ensure timely arrival.
  • Maintain and update purchase orders in the company's accounting or ERP system.
  • Manage vendor relationships and resolve any issues related to pricing, delivery, or quality.
  • Verify and match purchase orders, packing slips, and invoices for accuracy.
  • Monitor inventory levels and coordinate restocking as needed.
  • Support internal controls, compliance, and purchasing policies.
  • Assist with reporting and data analysis related to purchasing trends and vendor performance.
  • Create documents related to lien filing.
  • Assist with creation of invoices.

Qualifications

  • High school diploma or equivalent required; Associate's or Bachelor's degree in Business, Supply Chain Management, or related field preferred.
  • Strong negotiation, communication, and organizational skills.
  • Proficiency with accounting or purchasing software (e.g., Sage, QuickBooks, or similar ERP systems).
  • Attention to detail and ability to manage multiple priorities in a fast-paced environment.
  • Strong vendor relationship management skills.
  • Team player
  • Proficient in Microsoft Office Suite (especially Excel and Outlook).
  • Working knowledge of Microsoft Office Suite, particularly Excel.
  • Ability to manage multiple priorities and meet deadlines.
  • Experience in the construction or service industry a plus.

  • 2+ years of experience in purchasing, procurement, or inventory management (construction or mechanical industry experience preferred)
