Job Overview
We are seeking a professional and organized Receptionist/Administrative Assistant to join our team. This role is vital in ensuring smooth office operations, providing excellent customer service, and supporting management with administrative tasks. The ideal candidate will possess strong communication skills, proficiency in office software, and experience in office management or clerical roles. Bilingual abilities are a plus to assist diverse client needs. Duties

  • Greet visitors and clients at the front desk with professionalism and courtesy
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately
  • Handle appointment scheduling and calendar management using Microsoft Office and Google Workspace tools
  • Perform data entry, filing, and maintain accurate records using QuickBooks and other office software
  • Support office management tasks including bookkeeping, proofing documents, and organizing files
  • Assist with customer support by addressing inquiries via phone or email with excellent phone etiquette
  • Prepare correspondence, reports, and other documents with high accuracy and proofreading skills
  • Support medical or dental reception duties as needed, including patient check-in and appointment coordination
  • Manage office supplies inventory and coordinate with vendors for procurement
  • Provide personal assistance to staff or management as required

Experience

  • Prior experience in office administration, clerical work, or receptionist roles is preferred
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Docs, Sheets, Calendar) is essential
  • Familiarity with QuickBooks or bookkeeping software is a plus
  • Experience handling multi-line phone systems and front desk operations required
  • Bilingual skills are highly desirable to serve diverse clientele effectively
  • Strong organizational skills with the ability to prioritize tasks efficiently
  • Excellent typing speed and data entry accuracy are necessary
  • Previous experience in customer service or support roles will be advantageous
  • Knowledge of medical or dental receptionist duties can be beneficial but not mandatory

This role is integral to maintaining an efficient office environment while delivering exceptional customer service. We value candidates who are proactive, detail-oriented, and capable of managing multiple responsibilities seamlessly.

Job Type: Full-time

Pay: $ $28.00 per hour
