Your place in our story 

As a Service Coordinator, you'll be a key point of contact for residents, helping create a welcoming, well‑run community through exceptional service and clear communication. You'll coordinate maintenance, support move‑ins and move‑outs, and work closely with on‑site teams and partners to keep daily operations running smoothly. This is a great opportunity for someone who enjoys a fast‑paced, people‑focused role and takes pride in making a real difference in residents' experiences.

Here's how you'll contribute  

  • Respond promptly to all resident related issues, inquiries, and requests with a strong focus on customer satisfaction. Coordinate and escalate matters to management in a timely manner when appropriate, ensuring required follow-up is completed.

  • Oversee and coordinate maintenance requests by working closely with residents, maintenance staff, and external vendors to ensure timely communication, scheduling, and completion. Maintain accurate and up-to-date work order and closure documentation in YARDI.

  • Prepare and distribute mass and individual resident communications related to building updates, upcoming events, repairs, and operational changes. Collaborate with Marketing, Sustainability, and other services teams to support timely and consistent communications across the portfolio.

  • Ensure proper notice or resident authorization is obtained prior to entering occupied suites in compliance with the Residential Tenancies Act.

  • Coordinate all aspects of resident move-in and move-out activities, including inspections, elevator bookings, welcome and key packages, and resident orientations, where applicable.

  • Notify utility providers of changes in responsibility for suites becoming vacant or occupied and review related utility invoices in collaboration with Accounts Payable team, where applicable.

  • Provide support to the management team during peak periods by assisting with the move-in and move-out inspections.

  • Maintain accurate and up-to-date resident records in YARDI, including contact and emergency information, and process updates related to residents, co-tenants, occupants, guarantors, rental objects, and PAP conditions.

  • Prepare accounts receivable reports, monitor resident balances, identify delinquent and past-due accounts, and prepare files for collection as required.

  • Support resident engagement and community events in collaboration with Marketing, and maintain a strong understanding of property amenities, services, offerings, and policies to effectively assist residents.

  • Provide timely and professional responses to resident inquiries by phone, email, and in person, upholding high customer service standards and reinforcing the company brand.

  • Perform other duties within the scope, sprit, and purpose of the role, as assigned by management.

What you bring to the team

  • A minimum of two (2) years of experience in a fast-paced, client-facing role.

  • Post secondary education in business or related field (in progress or completed), considered an asset.

  • Knowledge of the Residential Tenancies Act and residential lease agreements, considered an asset

  • Strong attention to detail and accuracy

  • Effective communication skills, including listening, verbal, and written communication

  • Proficiency with Microsoft Office (Word, Excel, and Outlook)

  • Experience with YARDI or other customer relationship management (CRM) systems, considered an asset
