About Rockwater Associates

Rockwater Associates is a national fully remote professional services firm specializing in Tax, Accounting, and HR. Since 2020, rooted in Montana's Flathead Valley, we have grown into a national team of professionals across 22 states and are establishing its Corporate Headquarters in Whitefish. By combining the power of great people with great technology, we deliver exceptional results for our clients with integrity, transparency, and relentless customer focus. We are looking for a confident, energetic, and positive Office Manager to join our new office here in Whitefish

The Role

The Office Manager will be responsible for establishing our Corporate HQ and overseeing its daily operations. This is a key role at the center of Rockwater's business — keeping our operations organized, supporting client-facing teams with administrative needs, and ensuring the office becomes a productive and professional environment for both employees and clients.

This role will serve as a key ambassador for Rockwater. The Office Manager is one of the most visible representatives of the company, interacting with clients, employees, vendors, and community partners. You are someone who projects a polished, professional image, is positive, approachable, and makes clients and colleagues feel welcome and confident in working with us.

This successful candidate will set the tone in the office every day — modeling integrity, positivity, and professionalism — while also ensuring that the team executes with discipline and excellence. The Office Manager should "walk the walk," representing our values in how they communicate, organize, and follow through, so that culture and execution go hand in hand.

What You'll Do

  • Office Management: Oversee daily office functions, such as handling mail, scanning, ordering supplies, managing inventory, greeting clients, and shipping laptops. Keep daily operations running smoothly.

  • Client Support: Carry out billable client work including administrative tasks such as document scanning, preparation, onboarding, and secure file handling.

  • Leadership & Operational Support: Partner with leadership on scheduling, communications, and coordination of key priorities. Provide adaptable, proactive support across professional and operational matters.

  • Project Support: Assist with research, preparation of materials, and coordination of key projects. Excellent communication skills between all departments in sustaining synergy across all channels.

  • Information Flow: Act as a point of contact and gatekeeper for internal and external stakeholders, managing communications and ensuring follow-up on critical items.

  • Flexible Support: Take on additional responsibilities, as needed, to ensure leadership and the business operate at a high level and operations run seamlessly.

  • Professionalism: Professional, courteous, discreet, and dependable when working with sensitive information.

What You Bring

  • 3+ years in administrative, operations, office management, or office management roles.

  • Excellent organizational skills with the proven ability to handle multiple priorities.

  • Tech-savvy – confident using Microsoft Office, Salesforce, and other modern tools with ease, and helping others stay productive in a digital-first environment.

  • Strong interpersonal presence — approachable, polished, and community-minded.

  • Able to set the cultural tone while ensuring the team executes with professionalism and accountability.

  • A proactive, resourceful mindset with excitement for contributing to a growing company.

Why Rockwater?

  • Competitive salary: $55,000–$65,000 depending on experience.

  • Full benefits package including health, dental, and company matching 401(k)

  • Company-wide winter break – we shut down for a full week over Christmas

  • 2 weeks PTO + paid holidays

  • Growth opportunities in a fast-scaling company

  • A role with local presence and national impact

  • Be part of a culture built on integrity, transparency and relentless client focus.
