The Opportunity
Enroot is seeking a
Part-Time Operations / Office Manager
to support the day-to-day administrative and operational needs of the organization. This role is focused on
execution, coordination, and continuity
, ensuring that core office, finance, and people operations run smoothly.
This is a
part-time, hourly 1099 independent contractor role
and is
not eligible for benefits
. The role reports to the Executive Director and works closely with members of the senior leadership team.
The position is designed to provide stability during a period of transition and to support a thoughtful handoff of core operational responsibilities.
Time Commitment & Work Structure
- Up to 20 hours per week during the first 60–90 days
, focused on transition support, documentation, and stabilization - 15–20 hours per week thereafter
, depending on organizational needs - Hybrid role
, with an estimated
3–6 hours per week in person
in our Cambridge office for office-based tasks such as mail handling and time-sensitive coordination - Remaining hours may be completed remotely
Compensation
This is a
part-time, hourly 1099 contractor role
. The expected pay range for this position is
$25–$30 per hour
, commensurate with experience, with
$30 per hour as the maximum rate
.
Key Responsibilities
Office & Administrative Operations
- Open, sort, and route mail, including handling checks, invoices, and time-sensitive correspondence
- Serve as a point of contact for basic office-related needs and questions
- Coordinate with building management and external vendors as needed
- Maintain shared operational files, records, and documentation
- Manage org-wide calendar and schedule org-wide events and meetings
Finance & Operations Support
- Reconcile monthly recurring expenses and organizational charges using Ramp
- Assist with invoice processing, reimbursements, and expense tracking working closely with Enroot's external accountant
- Maintain organized financial and operational records
People Operations (Administrative Support)
- Support onboarding logistics for new staff, including paperwork, systems access, and coordination
- Support Executive Director with recruiting, candidate screening, training and onboarding practices alongside the hiring manager for all new hires, including interns
- Maintain personnel records and compliance documentation
- You have a basic understanding of benefits management.
- Track required trainings, forms, and routine HR administration
- Coordinate with external HR, payroll, or compliance partners as needed
- Coordinate with external benefits broker as needed and support adding new staff to benefits
Systems & Tools Support
- Provide basic systems support, including Salesforce user access, permissions, and troubleshooting
- You have experience using tools to automate data entry between spreadsheets and a CRM, like Salesforce.
- Maintain documentation for recurring operational processes
- Flag system or process issues early so they can be addressed proactively
- Maintain Enroot's Google Drive
- Maintain Enroot's Paychex Time and Attendance system
Coordination & Communication
- Support smooth handoffs and transitions across administrative and operational work
- Coordinate with internal staff and external consultants to ensure timely follow-through
- Communicate clearly about timelines, needs, and emerging issues
Skills & Experience
- You are a self-starter with excellent organizational skills, ability to juggle varied responsibilities, and keen attention to detail, with experience managing numerous areas of work across an organization with little supervision
- Experience in office management, operations, or administrative support
- Comfort handling confidential information with discretion and care
- Experience supporting finance, HR, payroll, or administrative systems
- Familiarity with CRMs (Salesforce preferred) and Google Workspace
- Ability to work independently, manage recurring tasks, and communicate clearly
- You are experienced in working with culturally diverse teammates and students, with an awareness and sensitivity to institutionalized racism and classism facing low-income communities
- You come to this role with a strong passion for and personal or professional connections to supporting immigrant communities, English Learners, and/or education
