Overview
We are seeking a professional and organized Front Desk Staff member to join our team. This role is essential in providing exceptional customer service, managing administrative tasks, and ensuring smooth office operations. The ideal candidate will have strong office management skills, proficiency with computer systems, and excellent communication abilities. Bilingual skills are a plus, as well as experience with medical or dental reception, bookkeeping, and data entry. This position offers an engaging work environment where attention to detail and organizational skills are highly valued.
Responsibilities
- Greet visitors and clients in a courteous and professional manner
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Handle appointment scheduling and calendar management using Google Workspace or Microsoft Office tools
- Perform data entry, filing, and maintain accurate records using QuickBooks or other office management software
- Assist with administrative tasks such as proofreading documents, managing correspondence, and supporting office operations
- Support customer service efforts by addressing inquiries promptly and professionally
- Maintain a clean and organized front desk area to ensure a welcoming environment
- Manage office supplies inventory and coordinate with vendors as needed
- Provide support for bookkeeping activities, including basic invoicing and record keeping
- Perform clerical duties such as typing, proofreading, and maintaining files with high accuracy
Qualifications
- Proven experience in office management, clerical work, or administrative support roles
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Experience with QuickBooks or similar bookkeeping software is preferred
- Excellent phone etiquette with the ability to handle multi-line phone systems efficiently
- Bilingual abilities are highly desirable to serve diverse client needs
- Exceptional organizational skills with the ability to prioritize tasks effectively
- Strong typing skills and attention to detail for data entry and proofreading tasks
- Previous experience in medical or dental reception is a plus but not required
- Ability to manage calendar appointments accurately and efficiently
- Demonstrated customer service skills with a friendly and professional demeanor
