Receptionist / Front Office Assistant (Bilingual Spanish Preferred)

Location: San Carlos, CA
Schedule: Part-Time to Full-Time (25–40 hours/week)
Workdays: Monday–Thursday & Saturdays
Dress Code: Business Casual

Position Overview

We are seeking a professional, dependable, and detail-oriented Receptionist / Front Office Assistant to join our growing accounting and tax practice. This role is the first point of contact for our clients and plays a critical role in office operations, client service, and document management.

Key Responsibilities

  • Answer and manage incoming phone calls with professional phone etiquette
  • Greet and assist clients in person and over the phone
  • Scan, organize, and manage client documents electronically
  • Assemble and prepare completed tax returns for client delivery
  • Process client payments and assist with accounts receivable tracking
  • Provide excellent customer service and client support
  • Communicate internally using (Communication Hub)
  • Manage emails and basic office correspondence
  • Maintain a clean, organized, and professional front office environment

Required Skills & Qualifications

  • Strong phone etiquette and communication skills
  • Spanish speaking required or strongly preferred
  • Computer proficient (Windows, email, document scanning, basic office software)
  • Comfortable working with technology; tech-savvy is a plus
  • Detail-oriented with strong organizational skills
  • Professional appearance and demeanor (business casual attire required)
  • Reliable, punctual, and able to multitask in a fast-paced environment

Preferred Experience

  • Prior receptionist or front-desk experience
  • Experience in an accounting, tax, legal, or professional services office
  • Familiarity with client management systems or workflow tools a plus)
  • Basic understanding of payments, invoicing, or accounts receivable

Work Schedule

  • Flexible schedule between 25–40 hours per week
  • Monday–Thursday & Saturdays required

Compensation

  • Competitive hourly pay based on experience
